On behalf of Lambton Rural Child Care, Lambton Works Centre is recruiting for a Program Supervisor.
Position Summary
The Program Supervisor assumes responsibility for the daily operation of the centre in accordance with the Ministry of Education regulations and the policies set out by the agency. The Program Supervisor is responsible for overseeing program planning, working effectively with staff, working with families and children, connecting with the community, mentoring staff and administrative responsibilities related to the daily operation of the centre.
The Program Supervisor is responsible for providing leadership in keeping with the philosophy of the agency while following the mission, vision, and program statements. The Program Supervisor works within the guidelines, policies, mission statement and program statement of the agency and will be accountable and responsible for specific projects as assigned.
The Program Supervisor will work directly with the Program Director and collaborate with the Executive Director and Financial Controller when required.
All LRCC team members follow our program statement and work toward a common goal to foster a positive, safe, caring, welcoming, enriched learning environment for a variety of children with differing needs and levels of development.
Responsibilities / Daily Tasks
Program Delivery
- Responsible for the daily operations of the centre in accordance with the Ministry of Education, other Government agencies and LRCC policies and procedures and program statement.
- Manage and oversee activities relating to all team members at your centre, in consultation with the Program Director and Executive Director.
- Promote “How Does Learning Happen?” to all team members and families utilizing the centre
- Perform and conduct assessment tool evaluations (example: ASQ – Ages and Stages Questionnaire). Any concerns with the ASQ results must be reported to the Program Director. If further support is required the Executive Director will be consulted.
- Maintain open communication with team members, parents, families, teachers, students, and community partners to ensure positive working relationships. Act as a liaison between the agency, staff member and parents.
- Plan and collaborate with school personnel (if applicable) and team members concerning programming, the needs of the children, as well as the individual interests and abilities of each child.
- Approve small food expenditures and pre-approve larger food expenditures outside of the regular food purchase order.
- Responsible for staff scheduling to ensure proper coverage is obtained while ensuring Ministry of Education child ratios into the Share Point database requirements are met.
- Submit timesheets every 2 weeks and attendance forms to the Financial Controller bi-weekly for billing purposes.
- Input attendance forms into Database SharePoint.
- Oversee and ensure program/children’s room(s) are organized and prepared daily for the children.
Child and Centre Safety
- Ensure health and safety inspections are conducted at program locations including playground, removal of snow and ice from playground and surrounding area. Program Director of any health and safety issues
- If staff are injured notify the Program Director or Executive Director immediately
- Ensure minor first aid treatment is administered when required and complete an Accident Report for the child and staff
- Immediately attend to any health and safety issues or concerns brought to your attention
- Advise the Program Director or Executive Director as quickly as possible following any serious health and safety occurrence and/or when the emergency protocol has been enacted
- Manage and ensure the sanitation and cleaning of the centre is preformed when required
- Provide necessary documentation of serious occurrences that occur within the centre to Program Director
- Conduct required fire drills.
Agency Operations and Administration
- Perform child registration, answer parent inquiries, and preform tours of the centre.
- Assist the Cook with the development and implementation, utilizing Canada’s Food Guide, of the menus for all centre in consultation with the Program Director
- Attend all LRCC meetings when required
- Ensure overall maintenance of the centre and report if anything needs repair (appliances)
- Communicate with the Financial Controller for all needs pertaining to child care subsidy cases
- Conduct monthly staff meetings.
Personal Development
- Participate in ongoing training and professional development opportunities provided by Lambton Rural Child Care based on; internal needs, Government and Ministry of Education requirements or individual development.
Documentation
Responsibly to accurately complete and maintain all Government, Ministry of Education and LRCC documentation as required. Documentation includes, but not limited to;
- Child Scheduling forms
- Communication log (daily)
- Children’s files
- Emergency cards
- Fire drills (perform and document monthly fire drills)
- After school list (weekly, daily if there are changes)
- Sick and illness logs (as required)
- Allergy list is posted and current (as required)
- Monthly classroom inspections
- Behaviour Management review on each staff member (at least quarterly)
- Incident documentation (confidential information)
- Document Team member coaching, disciplinary discussion formal and informal, and giving direction of processes, violations of policy, unusual situations, and insubordination.
Responsible to ensure the Program Team Members have completed the following documents, but not limited to:
- Program plans (weekly),
- Emergent checklist (weekly)
- Child attendance records (daily),
- Child development documentation (weekly)
- Sleep charts (daily),
- Record of illness (as required),
- Playground inspection (daily),
- Health and Safety inspection (monthly),
- Disinfectant log (weekly),
- Fish tank log (daily, weekly, monthly)
- Classroom refrigerator temperature log (daily),
Documents
Oversee to ensure and enhance Lillio to provide the child’s guardian with daily information surrounding the child’s activities, behavioural, physical, and mental state, sleep times, food and snacks, toileting, and any other relevant information, as directed by the Program Director.
Monitoring, Mentoring Programs and Staff Development
- Ensure that all areas of quality assurance including any program assessments, rating scales and developmental screenings for the children in care are completed as required within the centre
- Complete Behaviour Management Inspection quarterly for all staff
- Complete a monthly inspection of each classroom
- Complete a playground inspection monthly on each playground
- Assist with the implementation and supervision of all policies and procedures, when required, related to the child care programs
- Ensure that all medical/intolerance plans, allergy/medical plans, individual support plans for the centre are current at all times. When changes or adjustments are required ensure all staff team members are notified.
Human Resource Management
- Assist with the planning and coordination of work done by Program Team Members
- Supervise and evaluate the work performance of the Program Team Members
- Organize and attend regular staff meetings to maintain effective communication, training, and team building
- Ensure all information is current in the child and program files while meeting Ministry of Education requirements
- Manage and ensure Team Members maintain the Ministry of Education standards with respect to the documentation daily.
- Assist with ensuring adequate and qualified staffing numbers are obtained to carry out the programing requirements are met
- Assist with the selection, hiring, coaching, and discipline of the program employees
- Perform additional related duties as assigned or required.
Skills & Qualifications
- Two year Early Childhood Education Diploma
- 3 to 5 years’ experience working in a formalized child care center or an equivalent combination of education, training, and experience
- 1 to 2 years’ experience in management and supervisory experience of a minimum staff of 5 employees
- Current Infant and Toddler First Aid and CPR certification (Level C)
- Registered with the College of Early Childhood Educators
- Food Handler Certification (training provided through LRCC)
Job Qualifications
- Vulnerable Sector Police Check (sign annual offence declaration, and full check every 5 years or as needed)
- CAS Inspection
- TB test and current Immunizations
Professional Qualifications
- Demonstrated effective verbal and written communication skills.
- Remain up-to-date on all revisions and modifications to the Ministry of Education and College of Early Childhood Educators regulations
- Knowledge of the College of Early Childhood Educators regulations and expectations an asset
- Knowledge and understanding of all Lambton Child care policies and procedures
- Follow all procedures according to Child Care and Early Years Act regulations and Lambton Rural Child Care policies and procedures.
- Basic skills in Microsoft Office Software including Word, Excel, and Outlook.
- Excellent organizational and time management skills.
- An understanding of annual budgeting requirements
- Responsible for the staff and child scheduling
- Adhere to all Government, Ministry of Education and LRCC policies and procedures.
- Participate in ongoing training and professional development opportunities provided by Lambton Rural Child Care based on; internal needs, Government, Ministry of Education requirements or individual development.
- Attend all LRCC Team Meetings when required
