Academic Records and Credentials Assistant, Registrarial Services

Summary:

The academic records and credentials assistant supports electronic digital credentials platforms and academic history operations. This role handles platform inquiries, processes manual grade adjustments and faculty actions, supports parchment production, and responds to student and faculty inquiries. This position supports the department by coordinating processes, resolving issues, and maintaining the accuracy of academic records. Additionally, the assistant collaborates with coordinators and other university units while maintaining confidentiality and supporting continuous improvement in processes.

Duties and Responsibilities:

Triages and responds to digital credential platform inquiries through designated communication channels, providing information and support related to academic documents.
Processes faculty actions, such as grade adjustments, suspensions, and expulsions, and updates student records.
Coordinates record updates related to sensitive situations.
Authenticates documents within the platform and supports digital credential processes.
Coordinates grade adjustments, record maintenance, and faculty actions in collaboration with registrarial leadership.
Facilitates parchment production and oversees replacement document processing.
Maintains relationships with internal departments and the broader university community.
Assists with exam invigilation and record-keeping for deferred and distance examinations.
Fosters relationships and collaborates with student service partners across campus.
Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.
Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement.

Qualifications:

An office administration diploma.
Minimum of two years of related experience in a university setting working with digital credential platforms and academic records.
Familiarity with registration, transcripts, and academic records.
Strong understanding of administrative procedures and institutional systems.
Ability to learn university systems, policies, and processes.
Effective communication and interpersonal skills.
High attention to detail and accuracy in data handling and document preparation.
Strong problem-solving and analytical thinking capabilities.
Professional integrity with discretion in handling confidential information.
Excellent organizational and time management skills with the ability to handle multiple deadlines.
Ability to work effectively both independently and collaboratively in a team.
Proficient computer skills, including Microsoft Office applications, MyCreds, and Banner; familiarity with other student or digital credential platforms is an asset.

Status: Term 6 months with the possibility of extension or becoming permanent

Salary: The salary range, based on 1.0 FTE, is $24.74 - 31.37 per hour. The starting salary will be commensurate with education and experience.
