Full job description

As a Material Coordinator, you will support the full material receiving process from advance shipment notification through receiving closeout, documentation control, inventory tracking, client status meetings, third-party logistics coordination, preservation support, process improvement, staff guidance, field crew leadership, and issue resolution. The role focuses on accuracy, communication, safe execution, and ensuring material is received, verified, documented, and made visible to the project team.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

Coordinate incoming material shipments from advance notification through final receiving and documentation closeout.
Review SRN emails, packing lists, Bills of Lading, MRRs, and supporting documents to confirm shipment details, storage requirements, delivery location, and offload requirements.
Communicate with logistics, yard personnel, field teams, and Acheson Material Management to ensure all parties are aware of incoming material, receiving priorities, and required actions.
Participate in daily client status meetings to discuss 30-60-90 day lookahead reports, OSD reports, preservation reports, shipment planning, and project material needs.
Prepare and print required receiving documents, including SRNs, packing slips, BOLs, and MRR references, before material arrives on site.
Track material arrivals and ensure shipment details are entered accurately into the Material Status Report and daily receiving logs.
Coordinate offload planning, including laydown area selection, equipment requirements, traffic flow, dunnage, preservation needs, and safe access.
Verify received material against packing lists and shipping documents to confirm quantities, descriptions, tag numbers, heat numbers, and package counts.
Identify and document overages, shortages, damages, missing paperwork, and shipment discrepancies through the OSD process.
Take and organize receiving photos to support MRR documentation, damage reports, discrepancy reporting, and shipment verification.
Ensure receiving paperwork, photos, certifications, MTRs, and related documents are scanned, saved, and submitted for processing.
Maintain communication with field teams when material arrives, especially when there is limited time to complete the physical receiving process immediately.
Support safe receiving operations by ensuring FLHAs are completed, PPE requirements are followed, and offload concerns are escalated before work continues.
Coordinate with supervisors and logistics teams to resolve material issues, incorrect shipments, storage concerns, documentation gaps, and priority conflicts.
Work with external third-party logistics providers to address receiving issues, OSD requirements, preservation needs, storage concerns, and shipment/documentation discrepancies.
Assist in designing and improving material receiving processes, procedures, workflows, and field instructions to support safer, more consistent, and more efficient receiving operations.
Maintain accurate inventory visibility by updating receiving records, storage locations, and material status information.
Provide guidance, leadership, and direction to staff and field crews during receiving activities to ensure work is completed safely, accurately, and efficiently.

KNOWLEDGE, SKILLS & ABILITIES

Experience working with ERP and WMS systems (e.g., SMAT, SiteSense)
Strong proficiency in Microsoft Office, including Excel, Word, Outlook, and SharePoint
Strong communication skills, both written and verbal
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Self-motivated with the ability to work independently and collaboratively
Strong problem-solving skills with attention to detail

3–5 years of experience in a Materials Coordinator or similar role within industrial construction or warehousing
Strong attention to detail with the ability to follow structured processes
Ability to pass background checks and pre-employment drug and alcohol testing
