Executive Assistant

We are seeking an organized, detail-oriented, and proactive Executive Assistant to support our Executive Director and leadership team while helping ensure the smooth day-to-day operation of our organization.

This is a dynamic role that combines executive support, office administration, program coordination, event support, and community engagement.

Key Responsibilities

Provide administrative support including calendar management, meeting coordination, correspondence, document preparation, and record management.
Serve as a professional first point of contact by answering phones, responding to inquiries, and welcoming visitors.
Support organizational programs by maintaining records, tracking data, coordinating schedules, and preparing materials.
Assist with community events, fundraising activities, presentations, and outreach initiatives.
Coordinate volunteer schedules, communications, onboarding, and record keeping.
Maintain office supplies, filing systems, databases, and general office operations.
Support reporting, grant documentation, and other administrative projects as required.

Qualifications

MUST have 3-5 years of administrative, executive support, or office coordination experience.
Grant reporting experience.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Proficiency with Microsoft 365, Google Workspace, SharePoint, and database systems is essential.
Ability to manage multiple priorities while maintaining professionalism and confidentiality.
A positive, collaborative, and customer-focused approach.
Must live in Grande Prairie, AB
