Position Summary

The Carrier Compliance & Claims Coordinator is responsible for ensuring all third-party carriers meet the Company’s compliance standards and regulatory requirements, while effectively managing and resolving freight claims. This role plays a critical part in risk mitigation, service quality, and protecting the Company’s financial and operational integrity.

Key Responsibilities

Carrier Compliance Management

Vet, onboard, and maintain a network of approved carriers in accordance with company policies and industry regulations.
Verify and monitor carrier documentation, including:
Insurance coverage (cargo, liability, etc.)
Operating authorities and safety ratings
Certifications and regulatory compliance (DOT, CVOR, etc., where applicable)
Maintain accurate and up-to-date carrier records and compliance databases.
Perform ongoing audits of carrier performance, safety ratings, and compliance status.
Ensure all carriers meet internal standards before being assigned freight.
Identify and mitigate risks associated with carrier operations.

Claims Management

Manage the end-to-end freight claims process, including loss, damage, and delay claims.
Investigate claims by gathering supporting documentation (e.g., bills of lading, PODs, photos, carrier reports).
Liaise with carriers, customers, and insurance providers to resolve claims efficiently.
Negotiate settlements in accordance with company guidelines and contractual obligations.
Track and report on claims trends, root causes, and financial exposure.
Ensure timely filing and resolution of claims within legal and contractual time limits.

Risk Mitigation & Quality Control

Monitor carrier performance, including service levels, claims ratios, and incident history.
Develop and implement processes to reduce claims frequency and improve carrier quality.
Collaborate with operations and sales teams to ensure high-risk shipments are properly managed.
Escalate significant compliance or claims issues to management as required.

Collaboration and Communication

Work closely with brokerage operations, account managers, and sales teams to ensure compliant carrier usage.
Provide guidance and training to internal teams on carrier compliance requirements and claims procedures.
Act as the primary point of contact for carrier compliance and claims-related inquiries.

Reporting and Administration

Maintain detailed records of all claims and compliance activities.
Prepare regular reports on:
Claims volume and resolution timelines
Carrier compliance status
Risk exposure and trends
Ensure adherence to internal policies and external regulatory requirements.

Qualifications and Experience

Experience in transportation, logistics, or freight brokerage is required.
Strong knowledge of carrier compliance standards, insurance requirements, and freight documentation.
Experience managing freight claims and working with insurance providers.
Familiarity with regulatory frameworks (e.g., DOT, FMCSA, CVOR) is an asset.
Strong attention to detail and organizational skills.
Excellent negotiation, problem-solving, and communication abilities.
