The Opportunity
We are looking for an Insurance & Operations Administrator. This is an unlicensed administrative and operations position within our insurance brokerage. This is not an insurance broker or sales role, and an insurance licence is not required.
This is an important position within our office. We believe our licensed brokers should be able to focus their time and expertise on the work that requires a broker: understanding clients’ needs, analyzing insurance coverage, providing advice and having meaningful client conversations.
The Insurance & Operations Administrator makes that possible by taking ownership of much of the work surrounding those activities. The position combines insurance administration and processing, quote and written presentation preparation, billing, accounts receivable and payable, bookkeeping, and general office operations.
Rather than functioning simply as an assistant who completes tasks as they’re assigned, our goal is for this person to become highly knowledgeable about our processes and take increasing ownership of the administrative workflows that keep client files and our office moving efficiently.

What You’ll Do
As your knowledge develops, you’ll take increasing ownership of the administrative and operational workflows that support our brokers and clients, including:
- Prepare broker-ready new business and quote files in consultation with a licensed broker by entering information, gathering required documentation, preparing and obtaining quotations based on broker direction, organizing quote results, and preparing information for broker review.
- Prepare written client presentations based on broker direction using our established processes and templates, organizing quotation and coverage information into complete and professional materials for broker review and approval before presentation to the client
- Process policy changes and insurance transactions by completing broker-authorized endorsements and other transactions with insurance companies and following them through to completion.
- Maintain accurate client and policy records through our Broker Management System, insurer portals, data entry and electronic document management.
- Own administrative follow-up by tracking outstanding documents, signatures, insurer responses and other required items to keep work moving toward completion.
- Manage billing and accounts receivable administration by recording billing transactions, tracking outstanding client balances and following established procedures.
- Handle accounts payable and bookkeeping duties, including recording transactions, maintaining financial records and assisting with reconciliations as your training and responsibilities develop.
- Prepare client correspondence and documentation using established templates and procedures, while supporting incoming client communications and general office operations.
- Contribute to process improvement by identifying opportunities to make our administrative workflows more organized, accurate and efficient as your understanding of our operation develops.
- Adapt to evolving responsibilities and processes in an industry where insurer requirements, technology and procedures regularly change.
Insurance advice, coverage recommendations and other activities requiring an insurance licence remain the responsibility of our licensed brokers.

- Be dependable, conscientious and take pride in producing thorough, high-quality work.
- Communicate professionally and work well as part of a small, collaborative team.
Experience & Qualifications
You do not need previous insurance experience to apply. We are willing to teach the insurance side of the position to the right person.
Experience in insurance administration, bookkeeping, accounting administration, accounts receivable/payable, banking, financial services, legal administration or another detail-oriented professional office environment would provide a strong foundation for this role.
Experience with QuickBooks, bookkeeping, insurance systems or financial administration would be considered an asset.
Post-secondary education in Business Administration, Accounting, Office Administration or a related field would also be an asset, but relevant experience, aptitude and demonstrated ability are more important to us than a particular credential.

Compensation
CA$43,000–CA$55,000 per year, depending on experience and qualifications.
We are open to a highly capable administrative professional whom we can teach the insurance side of the position, as well as an experienced insurance, bookkeeping or financial-administration professional who can assume greater responsibility sooner.
Starting salary will reflect the experience, qualifications and capabilities you bring to the role.
