Opportunity

MacEwan University is seeking an experienced Governance Coordinator for a full-time continuing opportunity with our Office of University Governance (OUG).

As a member of the OUG and reporting to the University Secretary, you will be responsible for supporting the day-to-day administrative activities of the Board of Governors and its Committees (Board), and of the General Faculties Council and its Committees (GFC). You will support the implementation of governance processes within the university's bicameral governance framework and will serve as the administrative contact for the OUG.

Key responsibilities include:

Governance Support

Supporting the Governance Officer in the day-to-day administration of governance activities;
Coordinating Board and GFC meeting logistics, including scheduling, agenda packages, materials distribution, and minute-taking;
Tracking and following up on meeting decisions and action items; updates work plans as directed;
Preparing presentations and supporting materials for meetings;
Responding to and coordinating stakeholder and public inquiries, escalating matters outside established authority; and
Managing OUG correspondence and ensuring timely handling by the Governance Officer or appropriate delegate.

Administration

Providing general office administration, including records management, expense processing, invoice payment, office supply procurement, electronic filing, and other administrative support functions;
Preparing expense claims and reports for Board members and the University Secretary, and processes access requests and administrative forms (e.g., HR, finance, time management, pCard);
Maintaining governance records in accordance with university retention requirements, including file management, documentation, destruction processes, and guidance on records management best practices;
Supporting the development and implementation of OUG administrative policies and procedures;
Maintaining website content and governance databases and platforms (e.g., Trello, Diligent, PeopleSoft); and
Monitoring OUG email accounts, responding to or directing inquiries as appropriate.

Planning and Coordination

Coordinating meeting and event logistics, including room bookings, catering, annual calendars, and long-term scheduling;
Managing institutional events, including the Chancellor's Honorary Doctorate Dinner.
Administers the Honorary Doctorate Program, including nominations, committee support, approvals, and conferral processes;
Arranging travel and related logistics for the OUG and Board as required;
Supporting the scheduling and coordination of GFC, Board, and joint governance activities; and
Assisting with the planning and delivery of meetings, retreats, and other university events as directed.

Skills

You will have:

Demonstrated tact, diplomacy, and strong public relations skills;
Strong decision-making abilities with a proactive, self-directed approach;
Excellent organizational and multitasking skills, with exceptional attention to detail and accuracy;
Proven ability to manage a high volume of work, competing priorities, and tight deadlines;
Working knowledge of PeopleSoft, Google Workspace applications, and board portal technology;
Proficiency in Microsoft Office Suite and Adobe Acrobat Pro;
Strong problem-solving and analytical skills; and
Excellent verbal, written, and technical communication skills.

Qualifications

A minimum of a relevant certificate or diploma focusing on administration and project management.
A minimum of five years of progressively responsible administration experience at a senior executive level, with a minimum of three years supporting a role with direct reporting to a board.
Experience with records management, communications, and research techniques is an asset.
An equivalent combination of education and experience may be considered.
