Group 5 - $81,866 - $93,030

Reporting to the Executive Superintendent of School & Learning Services, the Administrative Assistant to School & Learning Services will provide confidential administrative support. The successful candidate will organize and administer a broad range of administrative activities to ensure the effective day-to-day operation of the office, including the Family of Schools portfolio, responding to incoming communications; coordinating and supporting completion of reports; providing updates on current and emerging issues relevant to the portfolio; maintaining schedules, budgets and calendaring system; assisting with Professional Development days, preparing correspondence, reports and agendas; coordinating meetings and taking minutes; communicating with a variety of contacts, both internal and external on a daily basis; and performing other administrative functions.
This position is available to fill an existing vacancy within the organization.
Qualifications and Skills required:

Post-secondary diploma or degree in Office Administration, Business Administration, Public Administration, Education Administration, or a related field.

Minimum five (5) years of progressively responsible experience in senior administrative, executive assistant, or organizational support roles; or an equivalent combination of education and experience.

Demonstrated experience supporting senior leaders and managing complex priorities.

Strong understanding of Catholic education, the mission of Catholic schools, and the Board's commitment to student achievement, well-being, equity, and inclusion.

Advanced proficiency in Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and other digital collaboration and productivity tools.

Strong financial and budget administration skills, including budget monitoring, expenditure tracking, purchasing processes, and financial reporting.

Excellent organizational, communication, interpersonal, and relationship-building skills, with the ability to work collaboratively across departments and with a wide range of stakeholders.

Demonstrated ability to exercise sound judgment, discretion, and professionalism while managing highly confidential and sensitive information.

Strong problem-solving skills and the ability to anticipate needs, identify solutions, and support continuous improvement initiatives.

Demonstrated commitment to customer service excellence and responsiveness in supporting schools, departments, and system leaders.
