Full job description

Job Overview
We are seeking a detail-oriented and organized Accounts Payable & Administrative Coordinator to join our team. The ideal candidate will be responsible for managing the company’s accounts payable processes, assisting with payroll processing, providing customer service, completing administrative tasks and maintaining accurate financial records. This role requires strong organizational skills, attention to detail, and proficiency with accounting software to support our day-to-day financial and administrative operations.

Responsibilities

Process and verify invoices, ensuring accuracy and compliance with company policies.
Manage vendor relationships and resolve billing and payment discrepancies.
Perform account reconciliation to ensure transactions are accurately recorded.
Maintain accurate records and assist with month end accounts payable reporting.
Prepare and process payment runs (cheques, ACH, and wire transfers).
Review, reconcile, and balance employee timesheets for payroll processing.
Act as a backup for payroll processing when required.
Accurately enter customer orders and job details into the accounting system.
Prepare shipping documentation as required.
Provide customer service by phone, email, and in person.
Utilize accounting software for data entry and reporting.
Perform other administrative duties as assigned.

Qualifications

1–3 years of accounts payable or accounting experience.
Strong attention to detail and excellent organizational skills.
Proficiency with Microsoft Excel and accounting software.
Knowledge of accounts receivable processes and general accounting principles is an asset.
Ability to manage multiple priorities and meet deadlines.
Strong communication skills when interacting with vendors and internal teams.
Diploma or degree in Accounting, Finance, or related field is considered an asset.
Experience with Global Shop or Sage software is considered an asset.
Ability to work independently and collaboratively as part of a team.
