About Lovegrove Dermatology

Lovegrove Dermatology is a well-established, high-volume dermatology practice providing exceptional medical and cosmetic care in a professional, organized, and patient-focused environment. We are recognized for our high clinical standards, collaborative team culture, and commitment to delivering an outstanding patient experience.

We are seeking a motivated, detail-oriented Medical Administrative professional to support our growing dermatology and aesthetics department. This role is well suited to someone who is proactive, takes initiative, and takes pride in contributing to a high-performing clinical team.

The Role

As a Medical Administrator, you will play a key role in shaping the patient experience from the first point of contact through to follow-up care. You’ll work closely with providers and team members to help ensure smooth clinic operations and a consistently positive, supportive experience for every patient.

This is a dynamic, patient-facing role in a fast-paced clinical environment that values professionalism, strong organization, and excellent communication skills, along with a genuine commitment to patient care.

You will be joining a well-structured and supportive clinical environment, where teamwork, consistency, and clear processes support smooth and efficient day-to-day operations.

Key Responsibilities

Welcome patients in person and by phone with warmth, professionalism, and confidence
Schedule, manage, and coordinate appointments using online and in-clinic systems
Prepare and maintain accurate patient charts, documentation, and intake information
Respond to patient inquiries and deliver a high standard of customer service
Support providers during clinic hours and collaborate with team members to maintain efficient clinic flow
Build strong, long-term patient relationships through clear, consistent communication
Educate patients on recommended treatments and medical-grade skincare products
Ensure accurate product selection, billing, and payment processing using the clinic’s POS system
Support patient retention, rebooking, and new patient follow-up
Maintain current knowledge of product offerings, pricing, promotions, and inventory processes

What We’re Looking For

Minimum 3 years of administrative experience required (medical and/or aesthetics experience strongly preferred)
Highly organized, detail-oriented, and comfortable using computers and clinical software
Excellent written and verbal communication skills
Reliable, punctual, and consistently professional
Confident, warm, and patient-focused approach
Ability to work efficiently in a fast-paced, team-based clinical environment
Strong work ethic and a genuine interest in dermatology and aesthetics and patient care

Schedule

Full-time, on-site position
Monday–Friday: 8:00 AM–4:30 PM (Tuesdays: 9:30 AM–6:00 PM)
This role requires in-person attendance; remote work is not available

Pay

Competitive pay range of $23.00–$27.00/hour depending on skills and experience.
