Position Summary
The Clinic Manager is responsible for overseeing the daily operational, financial, and human resource needs of the clinic to ensure efficient, smooth, and high-quality healthcare delivery.
Core Responsibilities and Accountabilities
Operations & Facilities Management
· Daily Operations: Oversee daily clinic operations, resolve operational issues, and handle morning opening tasks.
· Clinic Closures: Manage and coordinate clinic emergency closures due to weather or utility failures, ensuring prompt communication with staff.
· Facilities & Maintenance: Act as the primary liaison with the Municipality of Middlesex Centre regarding building maintenance, repairs, and snow removal.
· Security Systems: Manage the clinic alarm system, including user setup and serving as the primary on-call contact.

Financial Administration
· Financial Oversight: Manage in-house financial operations, process accounts payable (A/P) and accounts receivable (A/R), and oversee month-end reconciliation.
· Point of Sale (POS): Oversee and manage the clinic’s POS system and transactions.
· Invoice & Vendor Management: Order and purchase clinic supplies as needed; manage relationships and contracts with vendors.
· Patient Billing: Reconcile Version Codes with Service Ontario and manage outstanding patient invoices.

Human Resources & Team Leadership
· Staffing & Scheduling: Manage staff scheduling, vacation tracking, and leaves of absence (LOAs).
· Talent Acquisition & Onboarding: Oversee the hiring process, orientation, and training of new employees.
· Performance Management: Conduct formal staff performance reviews and address ongoing HR issues (supported by Dr. Kling).
· Training & Development: Coordinate and execute annual staff education, mandatory health and safety training, and new training topics as they arise.
· Meetings & Culture: Coordinate and chair monthly administrative meetings (including catering arrangements); plan social activities and bereavement acknowledgments (e.g., flowers/cards).
Information Technology (IT) & EMR Management
· IT Troubleshooting: Act as the main point of contact for IT support providers (Compudata), report system issues, and schedule routine maintenance.
· User Provisioning: Set up new IT users, create accounts, configure printer networks, and ensure software updates are completed efficiently.
· EMR Administration (Accuro): Manage Accuro EMR issues, submit vendor help tickets, and coordinate collaboration between Accuro and Compudata when resolving complex technical problems.
Compliance, Privacy & Patient Relations
· Confidentiality & Compliance: Strictly enforce and follow the MCFMC Privacy and Confidentiality Policy.
· Privacy Breach Investigations: Lead investigations into potential privacy breaches and report findings directly to the Information and Privacy Commissioner (IPC).
· Clinic Policies: Develop, implement, and perform annual updates on clinic policies and procedures.
· Conflict Resolution: Effectively manage and resolve patient or visitor complaints.

Information Management & Clinical Support
· Partner Relations: Collaborate with and support external care providers, including the Thames Valley Family Health Team (TVFHT), Skin Clinic, Sole Science, and Ontario Health at Home.
· Correspondence Control: Oversee the daily retrieval and distribution of internal correspondence (Wing Trays) and external mail (Post Office).
· Medical Records Support: Serve as an operational backup for Medical Office Assistants (MOAs) in handling medical records transfers and processing legal/insurance medical records requests.
· Other Duties: Perform alternative tasks and special projects as assigned by the Physician Partnership.

Qualifications & Skills
· Education: Graduate of an Administrative and/or Clinical Office Administration Diploma program.
· Experience: A background in Business Administration or Accounting (through formal education or equivalent experience) is highly valued but not mandatory.
· Technical Skills: Proficiency in Accuro EMR, Medeo, Patient SERV, Microsoft Office Suite (Word, Excel, PowerPoint), email platforms, and internet research.
· Interpersonal Skills: Demonstrates a friendly, positive, and professional attitude when interacting with patients and staff; possesses excellent written and verbal communication skills.
· Core Competencies: Strong collaborative teamwork mindset, exceptional organization, and superior time-management capabilities.
