Overview

We are seeking an organized and detail-oriented Marketplace Administration & Order Management Specialist to support the daily operation of AgriCart’s online marketplace. In this role, you will coordinate customer orders, communicate with buyers and sellers, maintain product and account information, and assist with accounts payable and accounts receivable. Your ability to manage multiple priorities, follow up consistently, and maintain accurate records will help ensure that transactions move smoothly from order placement through fulfillment, invoicing, and payment. This position offers an opportunity to take ownership of important administrative processes while contributing to a growing e-commerce business serving the agricultural industry.

Duties

Oversee daily order management activities, ensuring customer orders are reviewed, confirmed, documented, and progressed accurately through shipment, delivery, invoicing, and payment.
Communicate with buyers regarding order confirmations, product availability, delivery dates, shipment updates, invoices, returns, shortages, and customer service matters.
Coordinate with sellers to confirm pricing, availability, lead times, order acceptance, fulfillment status, shipping documents, invoices, credits, and order discrepancies.
Support accounts payable and accounts receivable by matching orders, invoices, freight charges, payments, credits, and supporting documentation.
Prepare customer invoices and assist with monitoring and following up on outstanding receivables.
Review seller invoices and support payment reconciliation and scheduling.
Maintain accurate customer, seller, product, order, shipment, and transaction records within the marketplace, accounting systems, spreadsheets, and administrative platforms.
Create, update, and maintain product cards, including titles, descriptions, specifications, pricing, images, categories, documents, availability, and lead times.
Work with sellers to collect missing or revised product information and ensure listings are complete, accurate, consistent, and professional.
Complete day-to-day platform administration, including account setup, seller onboarding, order status updates, issue tracking, reporting, and coordination with technical providers.
Assist with resolving order discrepancies, damaged shipments, shortages, returns, credits, refunds, and other customer or seller concerns.
Identify opportunities to improve administrative processes, order workflows, product information, and customer communications.

Skills

Experience in administration, order management, customer service, accounts payable, accounts receivable, purchasing, e-commerce, or a related operational role.
Strong organizational skills, attention to detail, and the ability to manage multiple orders, deadlines, follow-ups, and priorities.
Professional written and verbal communication skills for working with buyers, sellers, freight providers, accounting personnel, and company leadership.
Proficiency with Microsoft Excel, Outlook, Word, accounting software, e-commerce platforms, and other common business systems.
Experience working with purchase orders, invoices, payment reconciliation, customer accounts, product catalogues, or transaction records.
Ability to learn new software quickly, investigate discrepancies, solve routine problems independently, and escalate complex matters appropriately.
Familiarity with freight coordination, agricultural products, or B2B marketplace operations would be considered an asset.
A dependable and proactive approach, with sound judgment and a willingness to take ownership of assigned responsibilities.
Ability to work effectively in a growing business where systems, priorities, and responsibilities may continue to evolve.
