We are looking for an Executive Assistant who operates at a high level: someone who anticipates, organizes, communicates clearly, and keeps things moving. This role sits at the centre of executive operations and directly supports senior leadership.
This is not a passive administrative role—it requires ownership, sound judgment, and consistent follow-through.
This position will:

About the Role
You provide direct support to the Chief Operating Officer and senior leadership team, ensuring priorities are managed effectively and operations run smoothly.
You anticipate needs, manage competing demands, and ensure seamless coordination and execution. As a key point of contact, your professionalism and responsiveness are critical.
Key Responsibilities
Executive support
- Manage a complex, shifting executive calendar with strong judgment and foresight
- Coordinate meetings end-to-end: scheduling, materials, logistics, follow-ups
- Prepare concise briefings so leadership is ready for every engagement
- Support travel planning with attention to detail and efficiency
- Track priorities, decisions, and action items across stakeholders
Coordination and communication
- Act as a central hub for information, requests, and scheduling
- Manage incoming correspondence and ensure timely, appropriate responses
- Draft clear, professional communications, reports, and presentations
- Maintain strong relationships with internal teams and external partners
Operations and administration
- Keep documentation accurate, organized, and accessible
- Maintain confidentiality at all times
- Support day-to-day office operations and administrative needs
- Assist with team initiatives and engagement activities
Financial and records support
- Manage executive expenses and reconciliation
- Support financial documentation and reporting processes
- Maintain structured filing and tracking systems
Other Duties
- Operate corporate vehicle as required to support organizational and operational needs
- Perform additional duties as required

What You Bring
- Formal training in executive or administrative support
- Experience supporting senior leaders in complex environments
- Strong proficiency with Microsoft Office and business systems
- High level of discretion and professionalism
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Ability to manage competing priorities independently
- Adaptable, positive approach to change
- Experience with HR systems such as Dayforce is an asset
- Valid driver’s license required
