Payroll, Billing & Administrative Coordinator

Location: Tecumseh, Ontario

Rate: $20-$25 per hour

Onfreight Logistics is a fast-growing transportation and logistics company operating throughout Canada and the United States. We are seeking an experienced, highly organized, and detail-oriented Payroll, Billing & Administrative Coordinator to join our team at our Tecumseh headquarters.

This role is ideal for someone who thrives in a fast-paced environment, can work effectively under pressure, and has a proven ability to manage multiple priorities while maintaining exceptional accuracy and customer service.

Key Responsibilities

Payroll Administration

Process and assist with weekly payroll administration using ADP Workforce Now
Review payroll data for accuracy, including hours worked, pay adjustments, vacation, statutory holiday, and leave records
Maintain employee payroll files and confidential information
Respond to payroll inquiries from employees and management
Assist with benefits administration and employee record maintenance
Ensure payroll deadlines are met consistently and accurately

Customer Billing & Accounts Receivable

Prepare and process customer invoices accurately and efficiently
Review transportation paperwork, load documentation, and supporting records to ensure billing accuracy
Work directly with customers regarding billing inquiries, discrepancies, and payment issues
Follow up on outstanding invoices and support collection efforts
Maintain customer billing records and account reconciliations
Assist with reporting and month-end administrative requirements

Administrative Support

Provide general administrative support to Operations, Safety, HR, and Accounting departments
Manage data entry and document processing with a high level of accuracy
Maintain organized electronic and physical filing systems
Answer incoming calls and assist customers, employees, and vendors professionally
Prepare reports, correspondence, and various company documents
Assist with special projects and process improvement initiatives

Qualifications

Required

Minimum 2-3 years of payroll, billing, accounting, or administrative experience
Previous experience using ADP Workforce Now
Experience invoicing and billing customers in a high-volume environment
Strong computer skills, including Microsoft Excel, Outlook, and Word
Excellent attention to detail and accuracy
Strong organizational and time-management skills
Ability to manage multiple tasks simultaneously while meeting strict deadlines
Strong communication and customer service skills
Ability to handle confidential information professionally

Preferred

Experience in the transportation, trucking, logistics, or supply chain industry
Accounts receivable and collections experience
Experience working with transportation management systems (TMS)
Basic accounting or bookkeeping knowledge
