Data Pharms Inc., operating under HomeShare, is hiring an Assistant Property Manager - Leasing & Operations Coordinator in Thunder Bay. This is a hybrid administrative and field-based role, not a fully remote position. Previous property-management experience is not required. We are hiring for judgment, organization, follow-through, communication, comfort with technology, and the ability to learn a structured custom system. ROLE STRUCTURE - Part-time contract role averaging 15 to 25 hours per week, with seasonal variation. - Starting compensation: $25 per hour. - Proposed paid initial contract or trial period of approximately 3 to 6 months. - The role and mutual fit may later be reviewed for possible salaried employment with potential benefits. This is not guaranteed. - Approved work travel between properties and appointments is paid, with approved business kilometres reimbursed at the company rate. Normal commuting is not reimbursed. REQUIREMENTS - Able to work in Thunder Bay and attend scheduled property visits. - Valid Ontario G-class driver's licence and dependable access to a reliable, insured vehicle. - Legally authorized to work in Canada. - Clear, professional written, telephone, and in-person communication. - Comfortable using email, a smartphone, Google Docs and Sheets, shared records, calendars, and unfamiliar custom software. - Able to track several open matters, including the next action, responsible person, and due date. - Able to follow procedures, accept feedback, protect confidential information, and ask before acting when legal, financial, safety, privacy, or approval issues are unclear. WHAT YOU WILL BE TRAINED TO DO Leasing and property visits: - Respond to rental inquiries and coordinate and conduct room showings. - Document outcomes and follow-ups and organize complete application or lease information. - Coordinate approved move-ins, move-outs, turnovers, inspections, and readiness checks. - Take useful photos, write factual notes, and record cleaning, access, maintenance, and safety concerns. - Never promise applicant approval or change lease terms without authorization. Maintenance coordination: - Receive and triage maintenance requests and recognize urgent water, electrical, security, access, health, and safety risks. - Check for duplicates and create clear work orders. - Dispatch approved workers with the correct scope, access plan, safety notes, due date, and approval limit. - Keep updates in the work order and follow up on overdue, waiting, incomplete, or rescheduled work. - Review completion notes, photos, hours, materials, receipts, and remaining work before closure. Records and operations: - Review open work orders, visits, tours, move-ins, move-outs, and overdue follow-ups. - Keep approved tenant, room, lease, and work-order records current. - Complete short handoffs and participate in weekly operations reviews. - Escalate legal notices, rent or arrears issues, safety concerns, privacy matters, unusual spending, and exceptions to management. Strong candidates are careful, calm under pressure, comfortable learning software, willing to document their work, and able to communicate clearly.
