Position Summary
QRC Logistics is seeking a highly organized and detail-oriented Dispatch Coordinator to join our Transportation Operations team.
Reporting to the Transportation Manager, the Dispatch Coordinator plays a critical role in supporting the successful execution of daily transportation operations. This position is responsible for reviewing and validating routes, coordinating driver dispatch activities, supporting transportation operations throughout the shift, responding to service disruptions, documenting operational activities, and ensuring seamless communication between departments.
The successful candidate will possess strong problem-solving abilities, exceptional communication skills, and the ability to make sound operational decisions in a fast-paced transportation environment.
Key Responsibilities
Dispatch & Route Coordination
- Review and validate all routes prepared by the Route Planner to ensure accuracy, completeness, and operational readiness.
- Confirm route sequencing, customer requirements, equipment assignments, and delivery schedules align with operational plans.
- Coordinate nightly driver dispatch activities and ensure all routes are properly assigned and communicated.
- Make real-time route adjustments to address operational disruptions, customer requests, driver absences, equipment issues, and service exceptions.
- Proactively identify and resolve routing conflicts to support efficient route execution.
Driver & Transportation Support
- Monitor transportation operations throughout the shift to ensure timely departures and service execution.
- Serve as the primary point of contact for drivers and operational personnel during assigned shifts.
- Provide operational support and guidance to drivers, dock personnel, route planners, dispatchers, customer service representatives, and operations staff.
- Coordinate corrective actions to minimize service disruptions and maintain customer service standards.
- Enter and process after-hours freight orders received from customers.
Documentation & Load Planning
- Ensure all Bills of Lading (BOLs), manifests, route packages, customer paperwork, and delivery documentation are prepared accurately.
- Verify drivers have all required equipment, documentation, and information necessary to complete assigned routes.
- Support load-out operations to ensure freight is loaded according to route plans, delivery sequence requirements, and scheduled departure times.
Communication & Customer Service
- Maintain effective communication with drivers, dispatchers, route planners, customer service representatives, retail operations teams, and management.
- Communicate route changes, service updates, operational issues, and customer requests in a timely and professional manner.
- Escalate significant operational concerns, service failures, safety incidents, and customer-impacting events as required.
- Assist in resolving customer concerns and transportation service issues.
Operational Reporting & Exception Management
- Identify, investigate, document, and report delivery exceptions, shortages, damages, service failures, route discrepancies, and customer complaints.
- Ensure all exceptions are accurately recorded and communicated to the appropriate departments for resolution.
- Maintain accurate records relating to route changes, attendance, service failures, equipment issues, and operational activities.
- Document significant events occurring during the shift and track corrective actions implemented.
Performance Reporting & Data Analysis
- Support the collection and accurate entry of operational data used for KPI reporting.
- Monitor and record key transportation metrics including route performance, on-time delivery results, productivity measures, attendance records, and service failures.
- Assist management in identifying trends, recurring issues, and opportunities for operational improvement through reporting and analysis.
- Prepare detailed end-of-shift reports summarizing operational activities, exceptions, unresolved issues, and corrective actions taken.
Shift Handover & Operational Continuity
- Conduct comprehensive shift handovers to ensure continuity between operations teams.
- Communicate outstanding issues, pending deliveries, customer concerns, route discrepancies, driver concerns, and equipment issues requiring follow-up.
- Ensure all critical operational information is accurately transferred between shifts.
Continuous Improvement
- Identify opportunities to improve dispatch, routing, communication, loading, and service execution processes.
- Support operational improvement initiatives aimed at increasing efficiency and enhancing customer satisfaction.
- Collaborate with Transportation, Operations, Dispatch, and Planning teams to implement best practices and improve overall performance.
Health, Safety & Compliance
- Support adherence to company policies, transportation regulations, operational procedures, and safety standards.
- Promote safe work practices throughout transportation and dispatch operations.
- Report safety concerns, incidents, and compliance issues promptly and assist with corrective action implementation.
Qualifications
- Minimum 2-3 years of transportation, dispatch, logistics, routing, customer service, or operations coordination experience.
- Experience within transportation, cartage, LTL, retail delivery, or logistics operations is considered a strong asset.
- Strong knowledge of dispatching principles, route planning, transportation documentation, and customer service practices.
- Excellent organizational and time management skills.
- Strong problem-solving and decision-making abilities.
- Ability to work effectively under pressure in a fast-paced environment.
- Proficiency with Microsoft Office, transportation management systems (TMS), and operational reporting tools.
- Exceptional verbal and written communication skills.

Pay: $55,000.00-$60,000.00 per year
