About Ash & Sage
Ash & Sage Wellness House is a new wellness destination coming to downtown Trenton, bringing together independent wellness, beauty and self-care professionals in one thoughtfully designed and welcoming space.
We are currently looking for an exceptional Full-Time Lead Concierge & Wellness House Coordinator to join us from the beginning.
This is much more than a traditional reception position.
The Lead Concierge will be the welcoming face and day-to-day operational heartbeat of Ash & Sage - someone who takes pride in creating an exceptional client experience while making sure the Wellness House runs beautifully behind the scenes.

What You'll Do
As our Lead Concierge, you'll take ownership of the day-to-day front-of-house experience and help coordinate the overall operation of the Wellness House.
Your responsibilities will include:
- Creating a warm and welcoming experience for every client who enters Ash & Sage
- Managing client check-in/check-out, telephone and front-desk inquiries
- Managing bookings, rebooking, cancellations and waitlists
- Supporting and coordinating with our independent practitioners throughout the day
- Helping clients learn about services, memberships, packages and gift cards
- Processing payments and maintaining accurate POS records
- Overseeing our retail boutique and assisting clients with product purchases
- Maintaining the presentation and cleanliness of reception, hallways, washrooms and common spaces
- Managing laundry and linen requirements throughout the day
- Overseeing our coffee, tea, water and refreshment area
- Monitoring Wellness House inventory and placing routine supply orders
- Supporting Ash & Sage-operated wellness amenities and client flow
- Handling routine client concerns and escalating more significant matters to Ownership
- Completing opening and closing responsibilities
- Supporting special events, workshops and wellness evenings
- Helping ensure Ash & Sage policies, privacy requirements and operational procedures are followed
Practitioner Reporting & Administration
An important part of this position will be supporting the administrative side of our practitioner relationships.
The Lead Concierge will be responsible for:
- Maintaining accurate practitioner transaction information in Square
- Reviewing activity for each two-week reporting period
- Preparing and sending practitioners their biweekly reports
- Providing practitioners with the amount to be invoiced to Ash & Sage
- Tracking receipt of practitioner invoices
- Following up on missing invoices
- Reviewing invoices against Ash & Sage reporting
- Identifying and helping resolve discrepancies
- Preparing completed practitioner reporting and invoices for Ownership
Experience with Square, bookkeeping administration, reconciliations or financial reporting would be a definite asset.
Hospitality & House Presentation
Ash & Sage is being designed to feel different from a traditional clinic or salon.
Our Lead Concierge will play a major role in maintaining that experience.
You'll take ownership of the presentation of our reception area, common spaces, washrooms, retail area and coffee/tea/refreshment station throughout the day.
You'll also oversee laundry and linens, restocking and general House supplies.
Leadership
The Lead Concierge will also provide day-to-day direction to our Part-Time Concierge & Wellness House Assistant (to be hired after we open).
This will include:
- Establishing daily priorities
- Delegating appropriate tasks
- Coordinating front-desk coverage
- Ensuring laundry, refreshments and common-area responsibilities are completed
- Helping train and support the part-time Concierge
- Keeping Ownership informed of significant operational issues
We're looking for someone who can lead in a supportive, organized and hands-on way - not someone who simply delegates the work to others.

- Willing to jump in wherever needed to keep the House running smoothly
Experience in spa/wellness, boutique hospitality, medical aesthetics, hotel concierge, salon management, medical/dental reception, high-end retail or a similar client-focused environment would be an asset.
Leadership or supervisory experience would also be beneficial.
