About This Opportunity
We are seeking a capable and detail-oriented Accounting Administrator to manage accounts receivable, accounts payable, payroll administration, and broader accounting functions. This role will be responsible for maintaining accurate financial records, supporting compliance requirements, and ensuring accounting processes are well-documented, controlled, and executed consistently.
The successful candidate will play a key role in supporting month-end and year-end activities, payroll and statutory reporting, and the continued development of internal accounting systems and procedures. This role requires a high level of accuracy, strong attention to detail, comfort working with QuickBooks Online, and an understanding of payroll-related requirements, including ESA considerations, statutory deductions, remittances, records of employment, vacation pay, public holiday pay, and other payroll compliance obligations.
Responsibilities
Accounting, Reporting & Compliance:
- Prepare and support month-end and year-end accounting activities
- Complete bank and account reconciliations
- Prepare and submit HST/GST and other statutory filings
- Support financial audits and information requests
- Maintain records related to loans, financing, and scheduled payments
- Ensure compliance with applicable accounting and reporting requirements
Payroll & Statutory Reporting:
- Process payroll through QuickBooks Online using approved time records and payroll information
- Review payroll entries for accuracy and follow up on missing, unclear, or inconsistent information
- Maintain payroll records and supporting documentation
- Support accurate calculation and remittance of payroll deductions, vacation pay, public holiday pay, and other payroll-related amounts
- Prepare Records of Employment and support statutory payroll reporting requirements
- Apply payroll-related requirements with attention to ESA considerations, remittance deadlines, and recordkeeping obligations
Accounts Receivable:
- Prepare, issue, and track customer invoices
- Monitor receivables and follow up on outstanding accounts
- Communicate with customers regarding payments and account status
- Maintain accurate AR records and supporting documentation
- Assist with account adjustments as required
Accounts Payable:
- Review, code, and process vendor invoices
- Ensure invoices are properly approved and scheduled for payment
- Prepare and process payment runs
- Maintain organized AP records and documentation
- Respond to vendor inquiries and resolve discrepancies
Systems, Processes & Controls:
- Maintain accounting records and payroll systems
- Develop, document, and improve accounting and payroll procedures
- Identify opportunities to strengthen controls, accuracy, and efficiency
- Support internal financial reporting and data integrity
Required Skills & Qualifications
- University or college degree in accounting, finance, business, or a related field is preferred; equivalent experience will also be considered
- Minimum 5 year’s experience with full-cycle accounting, including AR, AP, payroll, and reconciliations
- Experience with month-end and year-end processes
- Extensive hands-on experience with QuickBooks Online, including payroll administration and core accounting functions
- Strong working knowledge of payroll requirements, including ESA considerations, statutory deductions, remittances, Records of Employment, vacation pay, public holiday pay, and payroll recordkeeping
- Strong proficiency in Excel
- High attention to detail and strong organizational skills
- Ability to work independently and manage evolving responsibilities
Autonomy & Accountability
- Comfortable operating with a high level of independence and ownership
- Confident acting as the primary internal subject-matter resource for payroll and statutory accounting matters
- Able to interpret, apply, and remain current with payroll and government requirements accurately
- Proactive in identifying issues, risks, and required actions without day-to-day oversight
Working Conditions
This is an in-office role within an active haulage and excavating business. The office environment can be busy at times, with interruptions, changing priorities, phone calls, operational activity, and background noise. The successful candidate must be comfortable maintaining accuracy, focus, and professionalism while working through distractions in a busy office setting.
