Sales Administrator (Accounting Department)

Purpose of Position
The Sales Administrator plays a key support role for both the Sales and Accounting teams. This position ensures accurate processing of sales‑related administrative tasks while maintaining essential accounting responsibilities such as balance sheet reconciliations, accruals, and documentation accuracy. The role also manages warranty registrations, co‑op program administration, and other sales‑support functions that require strong coordination, attention to detail, and cross‑department communication.
Working closely with the Controller, the Sales Administrator contributes to the integrity of financial records related to sales activity, supports month‑end processes, and assists with special projects as needed. This role is ideal for someone who enjoys a blend of administrative, accounting, and customer‑support tasks within a fast‑paced business environment.
Key Responsibilities
Sales Support & Administration
· Process and verify agriculture whole good sales, ensuring accuracy and completeness of required documentation.
· Coordinate with the sales team to resolve discrepancies, missing information, or customer account issues.
· Manage warranty registrations, ensuring timely submission and accurate record keeping.
· Administer co‑op program requirements, including tracking submissions, validating eligibility, and maintaining documentation.
· Maintain organized digital and physical records for sales‑related transactions and programs.
· Provide general administrative support to the sales team as needed.
Accounting Responsibilities
· Prepare and maintain balance sheet reconciliations related to sales activity (e.g., deposits, warranties, co‑op accruals).
· Assist with accrual entries and month‑end close tasks under the direction of the Controller.
· Support the Controller with year‑end preparation tasks, including documentation gathering and account analysis.
· Ensure compliance with internal controls and company policies for sales‑related financial processes.
· Participate in special accounting or administrative projects as skills and capacity allow.
Qualifications & Experience
· Formal education in accounting, business administration, or equivalent experience.
· Experience with bookkeeping, reconciliations, or financial record keeping is preferred.
· Strong computer skills, including proficiency with accounting software, spreadsheets, and digital record‑keeping tools.
· Excellent organizational skills with a high level of accuracy and attention to detail.
· Strong communication and interpersonal skills; able to work collaboratively with sales, accounting, and management teams.
· Ability to adapt to changing priorities and work effectively in a fast‑paced environment.
· Demonstrated ability to manage multiple tasks while maintaining deadlines.
