Full job description

Job Summary
We are seeking a detail-oriented and organized Project Coordinator to join our growing team in Nova Scotia. The ideal candidate will support project planning, scheduling, and execution, ensuring seamless communication among stakeholders. Reporting directly to the Construction Manager/Superintendent, while also assisting and supporting the Project Manager, your time will be split between the field and in-office.

Responsibilities

Maintain project schedule
Distribute meeting agendas and coordinate logistics for project meetings
Attend and document morning foreman meetings, client POD and client EOD meetings
Prepare and distribute meeting minutes with actions and decisions from site meetings
Collect daily paperwork from field and enter data into appropriate trackers (ex. Time sheets, foreman reports, DSB’s, LEMS, and time of requests)
Maintain site progress tracker and project performance databases tracking overall progress.
Coordinate change orders
Adhere to tight timelines
Manage budgets across project(s)
Set up and ensure that all subcontractors are managed accordingly
Track weather days
Update management team progress reports
Update Client progress reports as required
Update weekly schedule progress reports and highlights risks or delays
Track key milestone dates and issues, reminders sent to responsible parties
Prepare purchase orders and submit for approval
Assist in preparing monthly cost reports and forecasts for the CM/PM or Project Controller
Maintain cost tracking spreadsheets and ensure accuracy before PM review
Participate in field inspections and audits
Gather daily site progress pictures
Ensure quality records are filled and accessible for closeout packages
Verify all subcontractor documentation is completed prior to substantial completion
Participate in project kick-off, coordination and lessons-learned meetings
Documents tasks where required, performs labour duties as needed
Adhere to all safety standards and procedures. Identifies risks and gaps in safety execution in the operational environment and either stops work / escalates or implements defined and appropriate mitigation methods with appropriate oversight
Effectively contribute to a strong team environment
Proactively looks for improvement opportunities to job related processes and procedures and communicates through appropriate channels
Represent MWS as a knowledgeable, professional, and respected brand ambassador
Positively represent MWS in the wind industry, as well as in the communities in which we operate

Skills

2+ years' experience working as a project coordinator, preferably in the wind or construction industry
PMP / APM certification, would be considered an asset
Experience dealing with unions and collective agreements
Familiarity with project documentation workflows
Experience with Purchase Orders, budget adjustments and cost tracking
Advanced experience in MS Office application, including Excel
Excellent attention to detail
Valid CSTS 2020 Certification - ACSA/ESE (within 3 years)
Valid WHMIS 2015 Certification - ACSA/ESE (within 3 years)
Demonstrates integrity, strong initiative, work ethic, as well as a focus on safety and quality of work on a continuous basis
Strong understanding of construction estimating, contracts, and project scheduling techniques
Knowledge of construction management principles including project coordination and site safety protocols
Excellent time management skills with the ability to prioritize tasks effectively
Effective communication skills for coordinating with diverse teams and stakeholders
Familiarity with construction site experience is preferred but not mandatory; however a strong foundation in construction management is essential
Ability to manage multiple projects simultaneously while maintaining attention to detail
Comfortable with public speaking
Detailed-oriented and a problem solver
Experience/knowledge with wind turbines, would be an asset
Experience working on remote job sites
Basic Safety Training Standard through Global Wind Organization (GWO), would be an asset
Wind Turbine Technician Certification, would be an asset
First Aid Training, would be an asset
Valid LOTO – ACSA/ESE (within 3 years)

Working Conditions & Conditions of Employment

This position is a safety sensitive position. Employees will be required to obtain a negative Pre-Employment Drug & Alcohol Test
Further testing may be required throughout employment to meet various policy or client requirements
Must have a valid Class 5 Drivers’ License and meet MWS Driver Risk Matrix
Day shifts and Weekend shifts, with the possibility of Night shifts
Overtime will be required, including working a flexible and variable work schedule as needed to meet business objectives
Inclement weather conditions
Utilization of Personal Protective Equipment (PPE) as necessary

Job Type: Fixed term contract
Contract length: 12-24 months

Pay: $30.00-$35.00 per hour

Expected hours: 40 – 60 per week
