The Lead Admin at The Post plays a central role in supporting the smooth day-to-day operations of the property. This position is responsible for overseeing and coordinating the administrative functions of the hotel, providing operational and financial support to the General Manager and CRMR's Senior Administrator, and leading the Administrative Assistant in their daily responsibilities. The Lead Admin ensures accuracy in financial reporting and record-keeping, coordinates purchasing and inventory, and provides a wide range of operational support across departments.
Duties & Responsibilities
- Complete cash outs, deposits, and journal entries
- Reconcile and track financial statements and banking records
- Coordinate gratuity distributions
- Process and code invoices and manage payables and receivables
- Update and monitor operational spreadsheets and daily transactions
- Prepare daily operational reports and balance summaries monthly
- Audit expense reports and petty cash
- Coordinate supplies ordering and inventory management
- Manage correspondence, mail and filing systems
- Provide administrative support for internal and external meetings
- Lead, support the Administrative Assistant in their daily tasks
- Assign priorities and ensure timely and accurate completion of administrative work
- Liaise with department heads to support operational needs
- Assist with staff events and lodging-related initiatives
- Provide Front Desk support when required
- Other duties as requested by guests and/or management
Skills & Experience
- Administrative experience required; experience in financial administration or office coordination is an asset
- Excellent communication and organizational skills
- Ability to handle sensitive information with confidentiality
- Intermediate Excel skills and knowledge of accounting software
- High attention to detail and accuracy
- Ability to achieve a standard of excellence with work processes and outcomes
- Strong customer focus and ability to maintain high standards of service
- Teamwork-oriented with the ability to build strong working relationships
- Initiative to take ownership of work and anticipate needs
- Efficiency in planning, time management, and cost-consciousness
- Hospitality experience preferred
- Physical demands include sitting, standing, bending, and lifting (up to 30 lbs)
