We’re looking for an Administrative Assistant to the Director to join our Marketing, Enrolment, and Donor Relations team, a key role that helps keep our people, processes, and workplace running smoothly.

The Administrative Assistant provides administrative, budget, and project management support to ensure the efficient operation of the department. This role serves as a key liaison with internal and external stakeholders and handles confidential institutional and staff information with professionalism and discretion.

This position also supports project planning, SharePoint administration, reporting, and templated graphic design projects.

This position will require travel between Vermilion and Lloydminster campus.

Key Responsibilities

Administrative Support

Manage the Director’s calendar, email and meeting schedules

Coordinate departmental and cross-functional meetings

Prepare agendas, meeting minutes, reports, dashboards and presentations

Handle confidential documents and sensitive information

Coordinate travel arrangements and expense reconciliations

Assist with contracts, gift agreements and budget tracking

Support special projects and departmental initiatives

Systems & Project Support

Maintain and support departmental systems, including SharePoint, HubSpot, FRED and SurveyMonkey

Assist with HubSpot projects and reporting

Create and maintain dashboards and reports

Support project planning tools and departmental workflows

Coordinate resources, timelines and meetings for marketing and donor-related projects

Departmental Coordination

Support department events and activities

Coordinate promotional materials and office supplies

Process purchasing and expense claims

Review and update departmental procedures

Support departmental reporting and committee participation

Job Requirements

Minimum 2-year college diploma, preference may be given to candidates with additional post-secondary education or related training

3-5 years of related administrative experience

Experience supporting senior leaders is preferred

Experience in a post-secondary environment is considered an asset

Experience working with reporting, budgets and financial processes is considered an asset

Familiarity with Microsoft Office Applications, SharePoint, PeopleSoft, HubSpot and Raiser’s Edge is considered an asset

Exceptional organizational and time-management skills

Strong interpersonal and communication abilities

Ability to manage multiple priorities in a fast-paced environment

Strong attention to detail and professionalism

Ability to maintain confidentiality and exercise sound judgment

Valid driver’s license required

Additional Information

This is an AUPE Full-time Permanent position, with a salary range of $51,748 to $65,213/annum. This position is based at the Vermilion campus. We’ll begin reviewing applications the week of September 7, 2026, and will continue until the position is filled.
