The Opportunity
We are seeking an experienced Dental Clinic Operations Manager to provide operational leadership for our growing practice.
Working closely with the owner, finance manager and clinic team leads, you will be responsible for overseeing the day-to-day operations of the clinic, human resources, supporting team performance, improving systems and processes, enhancing patient experience, and helping build the leadership infrastructure necessary for a high-performing and sustainable practice.
This role is ideal for an experienced strong clinic and people leader who combines operational excellence with emotional intelligence, accountability, and a passion for creating exceptional patient and employee experiences.
Key ResponsibilitiesOperations Leadership
- Lead the daily operations of the clinic
- Ensure smooth and efficient patient flow
- Monitor operational performance and identify opportunities for improvement
- Coordinate clinic resources, staffing, and scheduling
- Develop and implement modernized operational systems and procedures
Human Resources Oversight
- Support recruitment and selection processes
- Participate in employee onboarding and orientation
- Support employee engagement and retention efforts
- Help implement HR systems and processes
Leadership & Team Development
- Provide day-to-day leadership and support to administrative and clinical teams.
- Foster a positive, respectful, accountable, and high-performing workplace culture.
- Coach team members and support professional development.
- Assist in identifying future leaders and developing internal talent.
- Facilitate regular team meetings and leadership meetings.
- Support implementation of clinic values and behavioural expectations.
Performance Management
- Oversee performance management processes.
- Conduct employee performance discussions and reviews.
- Address performance concerns in a timely and professional manner.
- Support implementation of coaching, corrective action, and accountability processes.
- Partner with external HR resources as needed on employee relations matters.
Change Management
- Lead operational improvements and change initiatives.
- Support implementation of new systems, processes, and technologies.
- Assist the clinic in adapting to growth and evolving business needs.
- Communicate change initiatives effectively and build team engagement.
Patient Experience
- Ensure exceptional patient service standards
- Resolve patient concerns professionally and effectively
- Monitor patient satisfaction and identify improvement opportunities
- Support implementation of patient communication strategies
Business Operations
- Analyze clinic performance metrics
- Monitor scheduling efficiency and productivity
- Support implementation of new systems and technologies
- Participate in strategic planning initiatives
- Help drive continuous improvement across the clinic
QualificationsRequired
- Minimum 5 years of leadership experience within a dental or healthcare environment
- Demonstrated experience leading teams of 20+ employees
- Experience managing multiple departments or functional teams
- Strong understanding of dental office operations
- Knowledge of dental insurance processes and fee guides
- Exceptional communication and interpersonal skills
- Strong organizational and problem-solving abilities
- Experience managing competing priorities in a fast-paced environment
Preferred
- Experience leading a large dental practice (20+ employees)
- Experience with Power Practice or similar practice management software
- Experience implementing operational improvements and systems
- Experience participating in recruitment, interviewing, onboarding, performance management employee development, and retention initiatives
- CDA background or clinical dental experience is considered an asset but is not required
