About the Role: Redcliffe Financial is seeking a highly capable, proactive, and discreet Executive Assistant to provide shared executive support to the President of Redcliffe Financial the Principal of Mason Advisory. This is a senior-level administrative role suited to someone who thrives in a dynamic environment, enjoys switching contexts, and brings excellent judgment, organization, and follow-through. You will act as a trusted partner to two experienced professionals—one leading an established financial services firm with a strong operational and client-service focus, and the other delivering highly specialized financial planning and advisory work for business owners, professionals, and affluent families, with a focus on insurance-based planning, estate planning, and long-term wealth strategies. This is a hybrid position. While you may earn the opportunity to work from home, the position will require in-person work at our offices in Esquimalt and Sidney.

This role also supports Mason Advisory, an independent financial planning and advisory practice focused on insurance‑based planning, estate and succession planning, and long‑term wealth strategies for business owners, professionals, and affluent families. While Mason Advisory operates independently, it works closely with Redcliffe Financial on aligned initiatives and shared clients.
What You Will Do:
Executive Support – President, Redcliffe Financial
- Act as the President’s primary gatekeeper and thought partner, exercising sound judgment in managing access, priorities, and follow‑through
- Own a high‑volume, complex inbox by triaging communications, drafting responses where appropriate, and ensuring critical matters are surfaced and resolved
- Proactively manage a demanding calendar, anticipating conflicts, preparing pre‑reads, and ensuring meetings are purposeful and well‑sequenced
- Prepare, edit, and polish executive‑level correspondence, presentations, reports, proposals, and internal communications
- Drive meeting effectiveness by preparing agendas, coordinating materials, capturing clear decisions and action items, and following through to completion
- Prepare briefing notes, summaries, and background research to support strategic and operational decision‑making
- Support planning and execution of leadership meetings, client meetings, conferences, and firm events
- Serve as a central connector between the President and internal team members, ensuring alignment, accountability, and smooth information flow
- Anticipate operational and administrative needs, identifying opportunities to remove friction and improve executive leverage
- Maintain well-organized, confidential digital files for client engagements and planning documentation
Executive Support – Principal, Mason Advisory
- Provide focused executive and administrative support aligned with a specialized financial planning and insurance-based advisory practice
- Manage scheduling for client meetings, professional‑advisor meetings, underwriting discussions, and planning reviews
- Prepare, format, and finalize client-facing materials including insurance illustrations, planning summaries, proposals, engagement letters, and presentation decks
- Coordinate workflows related to insurance applications, underwriting follow-ups, and planning deliverables
- Assist with research and preparation of briefing materials for estate planning, tax-efficient strategies, and wealth-transfer discussions
- Liaise professionally with clients and external professional advisors (lawyers, accountants, portfolio managers) on David’s behalf
- Maintain well-organized, confidential digital files for client engagements and planning documentation
Shared Responsibilities:
- Balance competing priorities across two executives with sound judgment
- Maintain strict confidentiality at all times
- Identify opportunities to streamline workflows and improve administrative processes
- Support ad-hoc projects and special initiatives as needed
Who You Are:
Qualifications
- Post-secondary degree or diploma
- 5+ years of progressive executive assistant experience, or equivalent experience in a senior administrative or operations support role
- Strong proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel, OneNote)
- Excellent written and verbal communication skills
- Comfort working with digital document management and collaboration tools

- Experience supporting contractors, consultants, or non‑traditional executive structures
- Advanced Excel skills or demonstrated experience improving administrative systems and workflows
