Whale Watching and Marine Tourism Operation
Position Summary
We are seeking a highly organized, detail-oriented Finance and Administrative Coordinator to support the day-to-day financial and administrative operations of a busy whale watching company. This role is ideal for someone who thrives in a fast-paced environment, enjoys balancing multiple priorities, and takes pride in keeping systems, paperwork, and processes running smoothly behind the scenes.
The Finance and Administrative Coordinator plays a key role in supporting leadership, operations, payroll,bookkeeping, human resources administration, and office coordination during both peak tourism season and quieter operational periods.
Key Responsibilities
Finance and Bookkeeping
● Process accounts payable and accounts receivable
● Reconcile bank accounts, credit cards, and daily sales
● Prepare and submit payroll and maintain payroll records
● Assist with budgeting, financial reporting, and cash flow tracking
● Maintain accurate bookkeeping and filing systems
● Coordinate with external accountants/bookkeepers during month-end and year-end processes
● Monitor expenses and assist managers with financial tracking
Administrative Support
● Manage office systems, supplies, records, and administrative procedures
● Monitor inventory levels and place orders as needed to ensure the gift shop remains well-
stocked
● Support scheduling, onboarding paperwork, and employee documentation
● Maintain HR files and assist with staff communications
● Coordinate licenses, certifications, insurance renewals, and compliance records
● Assist with recruitment postings and hiring administration
● Prepare internal documents, reports, and correspondence
● Coordinate and support sustainability initiatives, environmental certifications, and related
projects to help ensure the company maintains industry-leading standards in responsible
tourism and conservation
● Support senior leadership with operational and administrative projects
Operations Support
● Be the leadership point of contact on weekends
● Help coordinate seasonal staffing logistics and front desk training
● Assist with customer service escalations and internal communication when needed
● Support smooth coordination between office, reservations, dock staff, and management teams
● Contribute to process improvements and organizational efficiency
Qualifications
● Experience in bookkeeping, office administration, or financial coordination
● Proficiency with accounting and office software (QuickBooks, Excel, Google Workspace, etc.)
● Strong leadership, organizational skills and good attention to detail
● Ability to manage multiple priorities in a busy, seasonal environment
● Excellent written and verbal communication skills
● Ability to work independently and collaboratively
● Experience in tourism, hospitality, marine operations, or seasonal businesses is an asset

Position Details
