Position Overview:
The Donor Relations Officer will be responsible for project managing the direct appeal program which includes writing and coordinating online and mail appeals, and managing external contractors who provide layout, merged files, and segmented mailings. In addition, this person will be responsible for administering the Circle of Love monthly donor recognition program, and ensuring timely cultivation, solicitation, acknowledgement, recognition, and stewardship of new donors and a portfolio of mid-level donors. Assistance with donor recognition, and participation in donor outreach and events are part of the role as well.
Duties and Responsibilities:
Under the direction of the Director of Philanthropy, the Donor Relations Officer will:

- Annual Giving & Donor Communications
- Collaborate with direct appeal mail houses, media partners, and external vendors to develop annual plans, budgets, and revenue targets for segmented fundraising campaigns.
- Design, write, and coordinate direct mail appeals, online fundraising campaigns, stewardship communications, donor impact reports, and fundraising collateral.
- Manage a donor touchpoints calendar to integrate fundraising appeals, stewardship activities, recognition programs, and communications initiatives.
- Analyze fundraising data and campaign performance, track key metrics, and generate regular reports on revenue and donor engagement.
- Support the integration of new, monthly, active, and lapsing donors within the overall donor experience.
- Coordinate logistics for donor recognition programs, stewardship activities, and donor engagement initiatives.
- Contribute to the implementation of mass and customized donor communications and engagement touchpoints.
- Coordinate content for donor newsletters, stewardship updates, and fundraising communications.
- Mid-Level Donor Portfolio Management
- Manage a portfolio of mid-level donors through cultivation, solicitation, stewardship, and relationship management activities.
- Develop and execute strategies to acquire, retain, upgrade, and re-engage mid-level donors.
- Create and implement individualized donor engagement plans designed to deepen relationships and increase philanthropic support.
- Maintain accurate donor records and activity tracking within the CRM.
- Identify opportunities to move donors into leadership annual giving and major gift portfolios.
- Achieve established revenue, retention, and engagement goals associated with the portfolio.
- Digital Marketing & Donor Engagement
- Manage digital fundraising and donor engagement campaigns across email, website, social media, and other digital platforms.
- Coordinate and optimize digital fundraising tools and applications, including donation platforms, email marketing systems, peer-to-peer fundraising tools, and donor engagement technologies.
- Work with internal teams and external vendors to support website updates, campaign landing pages, digital donation forms, and fundraising content.
- Monitor and analyze digital marketing performance, including email engagement, conversion rates, online donations, and campaign effectiveness.

- Well-developed listening skills and a donor-centered approach.
o Excellent computer skills, including proficiency with Microsoft Office applications, fundraising databases, and digital fundraising platforms.
- Ability to analyze fundraising performance data and translate insights into action.
- Ability to apply appropriate donor recognition tools and stewardship strategies.
Education and Knowledge:
- Diploma or degree
- in fundraising, communications, marketing, business, or a related field.
- Additional training or certification in fundraising, project management, digital marketing, or communications is considered an asset.
Education and Knowledge:
- Diploma in a related field including/and one year certification in fundraising or project management.
Training and Experience:
- Minimum of three (3) years of experience in fundraising, donor relations, annual giving, communications, or a related field.
- Demonstrated success writing compelling donor communications, fundraising appeals, stewardship reports, donor impact stories, and digital fundraising content.
- Experience managing donor portfolios and cultivating donor relationships.
- Experience managing digital fundraising campaigns and donor engagement platforms, including email marketing systems, online donation platforms, website content management systems, and digital fundraising tools.
- Experience working with CRM systems such as Keela, or similar fundraising databases.
- CFRE designation or progress toward CFRE certification is considered an asset.
- OR an equivalent combination of education, training, and experience.
- Valid Class 5 driver's licence and access to a reliable vehicle for donor meetings, community engagement activities, site visits, and occasional travel throughout Greater Victoria and surrounding communities.
Working Conditions
Shifts: 37.5 hours per week; Monday to Friday with several evenings or weekend events annually.
Compensation: $37.00 to $42.46 per hour
Benefits: Vacation is accrued at a rate of 6% or in accordance with your length of service as per the collective agreement (Article 18.1). Eligiblefor a 100% employer paid comprehensive benefits plan, including health and dental coverage, after completion of probationary period.
This position requires union membership.
