OVERVIEW
We are seeking a highly organized and proactive Office Manager/Bookkeeper to oversee daily operations and ensure the smooth functioning of our office environment. This role includes managing the office, human resource duties, and accounts payable bookkeeping support.
Candidate should have 8+ years experience in an Office Manager position and 5+ years of bookkeeping experience.
RESPONSIBILITIES
OFFICE MANAGEMENT
Design and implement office policies by establishing standards and procedures
Maintaining phone lists (staff phone/address list, emergency contacts, company contacts)
Coordinate travel arrangements, meetings, and events
Maintain inventory of office equipment and supplies
Coordinate office maintenance, IT support and other office vendors and suppliers
Provide ongoing support to staff as necessary
Administration of extended benefits plans
Maintain a proactive stance on operational safety by tracking evolving legal requirements and industry best practices to mitigate corporate risk
Arrange domestic and international shipments
HUMAN RESOURCES
Staff hiring – posting jobs, arranging interview times, communicating with candidates
Grant applications for interns and co-op students – ensuring timelines met, salary verification documents submitted
WCB claims, disability claims – filing claims, monitoring
Maintain employee records (training, vacation, sick days, performance appraisals)
Educate employees on company benefits and policies
Acts as a resource for staff regarding policies and procedures; create and maintain an employee handbook
Manage job postings and onboarding and training of new staff as well as exit interviews
Assist management with corrective action and conflict resolution
ACCOUNTING
Manage accounts payable and receivable processes within an ERP system and Quickbooks
Ensure timely payment of invoices and collection of receivables
Research and trouble shoot invoice and vendor questions or issues
Verify and investigate discrepancies by reconciling vendor accounts and monthly vendor statements
Support the preparations of monthly and annual financial statements
Generate reports detailing accounts payables status
Work closely with international colleagues in the USA and Germany
Pay: $30.00-$38.00 per hour
