Job Summary
The Operations Assistant provides administrative and operational support to ensure the smooth and efficient functioning of Benson Cabinetry & Millwork. This role is responsible for coordinating office administration, maintaining accurate records, supporting logistics and travel arrangements, assisting with company events, and serving as a key point of contact for employees, vendors, and visitors. Success in this role requires strong organizational skills, attention to detail, initiative, and a commitment to delivering exceptional internal service.
Reports to: Operations Manager
Key Responsibilities
Administrative & Office Support
- Perform reception duties as the first point of contact and provide general support to visitors.
- Print documents, tags, and labels as needed.
- Maintain the cleanliness of shared areas, including the boardroom, kitchen, and common areas (e.g., dishwasher, fridge clean-out).
- Distribute incoming and outgoing mail and external packages.
- Serve as the point person for office printers and phones, including basic maintenance and coordination with service providers.
- Update various spreadsheets and ensure data accuracy.
- Assist with the annual archiving process.
- Handle ad-hoc tasks assigned by management.
Vehicle & Equipment Administration
- Maintain vehicle and trailer files, ensuring records are up to date (inspections, oil changes, maintenance schedules, insurance renewals, employee driver’s licenses).
- Perform company-related errands using the company vehicle.
Logistics & Coordination
- Process product returns and samples via courier, coordinating with suppliers or vendors as required.
- Pick up kitchen supplies for daily operations or staff events.
- Water indoor and outdoor plants.
- Assist with booking travel (Airbnbs, hotels, vehicles, ferries) for internal requirements.
Event & Culture Support
- Assist in organizing staff events.
- Support operations by helping prepare supplies and logistics for company functions.
Experience & Education
- Minimum 1 year of experience in an administrative, office support, receptionist, or operations support role
- Post-secondary education in Office Administration, Business Administration, or related field preferred.
- Experience maintaining records, spreadsheets, and administrative documentation.
- Experience coordinating logistics, travel arrangements, events, or office operations is an asset.
- Experience interacting with vendors, service providers, customers, or employees in a professional environment
Skills & Competencies
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines
- Excellent attention to detail and ability to maintain accurate records, spreadsheets, and documentation
- Proficiency with Microsoft Office applications, particularly Outlook, Word, and Excel.
- Strong verbal and written communication skills with a customer service focus.
- Ability to work independently, take initiative, and adapt to changing business needs.
- Experience coordinating administrative, logistical, travel, and event-related activities.
- Ability to maintain confidential information and exercise sound judgment.
- Valid BC Driver's Licence and ability to safely operate a company vehicle when required

Working Conditions
This role is in part an office-based job in which a sit-stand desk is provided. In the office, extensive computer work is necessary. There is a necessity to interact with the manufacturing plant and foreman, in which case steel-toed boots & PPE is mandatory.
