The London Cross Cultural Learner Centre ('CCLC') is a London, Ontario–based non-profit organization that provides settlement services for newcomers to Canada. We are currently seeking a full-time, fixed-term contract Program Assistant to join our Language Assessment and Referral Services (LARS) team at our Windsor location, with the contract running until March 31, 2027.
The Language Assessment and Referral Services (LARS) program provides assessments to newcomer clients to determine their English language proficiency in accordance with the Canadian Language Benchmarks. The program also supports clients by referring them to appropriate Language Instruction for Newcomers to Canada (LINC) or English as a Second Language (ESL) programs based on their individual needs and goals.
The Program Assistant role assists the team with performing a wide variety of administrative and program support related duties. Above average skills in MS Office and Video Conferencing using Teams and Zoom are required.
Administrative Support Responsibilities
Provide comprehensive administrative support, serving as a first point of contact for client and partner inquiries. Coordinate appointments, manage client intake and records, maintain databases (HARTs, iCORA), and support data migration. Prepare reports, track statistics, and summarize client feedback. Assist with meeting coordination, agendas, and minutes, as well as training and event logistics. Maintain program materials, inventory, and documentation while ensuring accuracy, timeliness, and confidentiality of all information.
Additional Responsibilities
Participate in training and team meetings, adhere to program policies and protocols, and support ongoing program and operational needs as assigned.
Qualifications:
- College certificate/diploma or equivalent administrative experience, with at least one year providing clerical and administrative support in a business or non-profit setting
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with database management and recordkeeping
- Strong organizational, time management, and attention-to-detail skills, with the ability to manage priorities and meet deadlines in a high-volume environment
- Ability to handle sensitive and confidential information with discretion
- Effective communication skills, with the ability to interact professionally with clients, staff, and community partners
- Demonstrated ability to work both independently and collaboratively within a team environment
- Knowledge of and commitment to anti-oppressive, trauma- and violence-informed practices
- Strong problem-solving skills with the ability to anticipate needs and respond proactively
- Comfortable using standard office equipment and performing routine administrative tasks
