Shipping and Receiving Coordinator

Job Summary:
The Shipping & Receiving Coordinator is responsible for managing the efficient flow of raw materials, components, finished goods, and packaging materials within an automotive manufacturing environment. This role ensures accurate receipt, storage, inventory transactions, and shipment of products while maintaining compliance with customer requirements, quality standards, and company procedures. The successful candidate must be fluent in Mandarin and English and have hands-on experience using SAP ERP systems.
Key Responsibilities:
Receiving Operations
- Receive incoming materials and verify quantities against purchase orders, packing slips, and ASN documentation.
- Inspect incoming shipments for damage and discrepancies.
- Process receipts and inventory transactions in SAP.
- Coordinate with suppliers regarding shortages, overages, or damaged goods.
- Ensure materials are properly labeled and stored according to company standards.
Shipping Operations
- Prepare and verify outbound shipments according to customer schedules and shipping requirements.
- Generate shipping documents, labels, bills of lading, and customs documentation as required.
- Coordinate with carriers, freight companies, and customers to ensure on-time deliveries.
- Verify shipment accuracy before dispatch.
Inventory Control
- Maintain accurate inventory records in SAP.
- Conduct cycle counts and assist with physical inventory audits.
- Investigate inventory variances and implement corrective actions.
- Monitor inventory levels and support production requirements.
SAP Transactions & Reporting
- Perform SAP transactions related to goods receipt, goods issue, inventory transfers, and stock adjustments.
- Generate daily, weekly, and monthly logistics reports.
- Maintain accurate system data and documentation.
Supplier & Customer Communication
- Communicate with overseas suppliers, particularly Mandarin-speaking suppliers and customers.
- Coordinate shipment schedules, material shortages, and logistics issues.
- Support procurement and production teams with material status updates.
Compliance & Safety
- Follow ISO/IATF 16949 quality standards and company procedures.
- Ensure compliance with shipping regulations and customer-specific requirements.
- Maintain a safe and organized warehouse environment.

KPI:
● Health and Safety Awareness
● Inventory level: Number of weeks of inventory to ensure no overstock and avoid pipeline disruptions due to unexpected situation
● Cost reduction: Reduce cost through efficient use of carriers and shipping method
● On Time Delivery: Evaluated by the percentage of on-time deliveries, ensuring smooth and prompt delivery from our plants to the warehouses and, eventually, to the customers.
● Premium Freight: Monitored through minimized usage of premium freight due to emergency shipping situations, focusing on proactive planning and effective logistics management.
Skills and Competencies:
· Fluent in Mandarin and English (spoken and written).
· Strong SAP ERP knowledge (MM, WM, EWM, or related modules).
· Knowledge of automotive customer requirements.
· Understanding of inventory control and warehouse operations.
· Strong attention to detail and accuracy.
· Excellent communication and problem-solving skills.
· Proficient in Microsoft Excel and Office applications.
Qualifications:
● Experience: 3+ years of experience in material planning, supply chain, or production planning, preferably within the automotive or manufacturing industry; Familiarity with international shipping practices and regulations, particularly between China and North America / Europe.
● Demonstrated ability to work under pressure, with excellent problem-solving skills and the ability to manage multiple priorities.
● Education: Bachelor's degree in supply chain management, Logistics, Business Administration, or a related field (or equivalent work experience) will be an asset
● Language: English and Mandarin are a requirement
Physical Requirements
- Ability to lift up to 50 lbs (23 kg) occasionally.
- Ability to stand and walk for extended periods.
- Forklift certification is an asset.
Pay: $20.00-$24.00 per hour
