MINIMUM FORMAL EDUCATION/TRAINING:
- Post-secondary education in business administration, project management, or a related field (equivalent experience considered) is required.
EXPERIENCE:
- Minimum of 1 year of experience in office administration, project coordination, or financial management, preferably within a university or non-profit research environment is required.
- Familiarity with the University of Manitoba’s administrative systems (Concur, EPIC, etc.) is required.
- Experience supporting grant-funded research projects and compliance reporting is preferred.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines is required.
- Solid understanding of budgeting and financial tracking is required.
- Excellent written and verbal communication skills required.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with shared digital platforms (Teams, SharePoint, etc.) is required.
- Ability to work both independently and collaboratively in a small, dynamic team is required.
- Professional judgment, discretion, and respect for confidentiality is required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
Financial and Administrative Management
- Maintain budgets on all research projects and track expenditures to ensure alignment with project objectives.
- Prepare reports for RESOLVE Manitoba, as requested (e.g., Annual Report, funder reports).
- Process employee payroll.
- Arrange and process all staff travel via UM Concur.
- Process staff and RA expense claims via UM Concur.
Project and Research Coordination
- Support project management across all RESOLVE Manitoba research initiatives, ensuring adherence to timelines, deliverables, and reporting requirements.
- Assist with the preparation of grant funding proposals, including budget development, supporting documents, and submission tracking.
- Track and monitor grant compliance requirements, including ethics renewals, funder conditions, reporting deadlines, and documentation.
- Coordinate communications and meetings among project teams, community partners, and funders to ensure alignment and progress on project objectives.
Human Resources and Office Operations
- Complete all forms relating to the hiring and reappointment of staff and research assistants.
- Ensure that all office documents, including policies and procedures, are up-to-date and securely stored on the university server.
- Maintain and order office supplies and other needed items through EPIC and other approved sources.
Communications and Committee Support
- Communicate with UM units (including Finance, HR, VP Research and International Office, Physical Plant, IST, etc.), provincial academic and community members, and funders.
- Organize and arrange all RESOLVE meetings (e.g., Steering Committee and project-specific) and ensure members receive required documents.
- Take minutes at Steering Committee and other project meetings, as required.
- Other duties as assigned.
