We are seeking an experienced Executive & Board Administrator to provide high-level administrative and governance support across our Executive Team, Board of Directors, and Committees.
This is a part-time role (18–24 hours per week) with a flexible schedule aligned to business needs, including evenings and weekends to support Board and Committee meetings.
ABOUT THE ROLE
This role combines executive administrative support with a strong governance focus. You will coordinate meetings, prepare materials, maintain accurate records, and ensure follow-up actions are tracked and completed.
This position is ideal for someone who enjoys working independently, values precision, and takes pride in enabling leaders to do their best work.
What you’ll do
- Support the CEO and Executive Team with calendar coordination, meeting preparation, and professional document formatting
- Coordinate Executive Team meetings, including agendas, materials, minutes, and action tracking
- Serve as Secretary for multiple Boards and Committees, ensuring effective meeting coordination and follow-up
- Prepare and maintain accurate minutes, resolutions, and official decision records
- Maintain governance documents, including bylaws, policies, charters, and procedural guides
- Ensure governance records are organized, secure, version-controlled, and accessible
- Act as a liaison between Board members, Committee members, and management to support clear communication
- Support onboarding and orientation of Board and Committee members

WHAT YOU BRING
Required
- Experience supporting senior leaders, executives, or boards
- Expertise in meeting coordination, minute-taking, and document preparation
- Strong organizational skills and attention to detail
- Excellent communication skills (written and verbal)
- High level of professionalism, discretion, and integrity
- Comfort managing priorities independently in a part-time role
- Strong working knowledge of Microsoft 365 (Outlook, Word, Excel, PowerPoint)
- Ability to travel within North America
Preferred
- Experience supporting Boards or Committees in a cooperative, regulated, or multi-entity environment
- Familiarity with board portals or governance tools
