Receptionist / Administrator

Job Type: Full-time, In-person

Pay: CA$19.00 – CA$24.00 per hour

Schedule: Monday to Friday, 8:30 AM – 5:00 PM (No weekends)

Location: Woodbridge, ON

The Role

As our Receptionist/Administrator, you will play a vital role in our daily operations. You’ll be the face and voice of our company—serving as the first point of contact for clients and candidates both over the phone and in person, while providing essential administrative support to our recruitment team.

Key Responsibilities

Front Desk Excellence: Greet visitors, candidates, and clients with a warm, professional welcome.

Communication Hub: Manage incoming phone calls, screen inquiries, and direct callers to the appropriate team member.

Candidate Onboarding: Assist applicants with registration forms, verify IDs, and ensure compliance paperwork is completed accurately.

Data Management: Maintain and update candidate profiles, resumes, and contact details in our Applicant Tracking System (ATS).

Office Coordination: Keep the reception area and interview rooms clean, organized, and welcoming; oversee office supplies and manage incoming/outgoing mail.

Recruitment Support: Schedule interviews, administer basic skills testing, and assist with job fair coordination and materials.

What We Are Looking For

Experience: 1–2 years in a reception, administrative, or customer service role (experience in a staffing agency or HR environment is a major asset).

Language Requirements:
- English: Excellent verbal and written communication skills (Required).
- Tagalog / Filipino: Fluency or proficiency is strongly preferred to assist our diverse client and candidate base.
Tech Skills: Proficient in MS Office (Word, Excel, Outlook) and quick to learn new software and ATS platforms.

Core Competencies: Exceptional organizational skills, high attention to detail, and the ability to multitask smoothly in a fast-paced environment.

Education: Secondary school diploma or equivalent (Preferred).

Location: Must be able to reliably commute to Woodbridge, ON, or plan to relocate prior to starting work.
