About Pathfinder Bookkeeping
Pathfinder is a modern, cloud-based bookkeeping firm servicing businesses throughout Nova Scotia. We used cloud accounting software, digital workflows, automation, and AI-powered tools to delivery exceptional services to our clients.
We're looking for an organized, proactive, and technology-confident Administrative Coordinator to support our clients, bookkeeping team and daily office operations.
Position Summary
As the first point of contact for our clients, you'll help create a welcoming and professional experience while coordinating the administrative activities that keep our office running efficiently. This role combines reception, client service, office administration, workflow coordination and bookkeeping support.
Key Responsibilities
- Welcome clients and visitors while providing exceptional customer service.
- Answer phones, respond to emails, and coordinate client communications.
- Schedule appointments and manage team calendars.
- Coordinate new client onboarding and prepare engagement documentation.
- Maintain organized digital and physical client files.
- Prepare monthly invoicing, accounts receivable, and payroll administration support.
- Assist bookkeepers with document preparation and administrative task.
- Coordinate workflows, recurring tasks, and deadlines using ClickUp.
- Support continuous improvement of office procedures and documentation.
- Provide general administrative support to leadership and the bookkeeping team.
Required Qualifications
- Minimum one year of administrative, office coordination, customer service, or client support experience.
- Excellent organizational, communication, and customer service skills.
- Strong digital literacy with the ability to confidently use cloud-based business applications. This includes professional email communication, online calendars, shared documents, file management, and collaboration tools. Experience with Google Workspace (Gmail, Calendar, Drive, Docs, and Sheets) is preferred.
- Comfortable working in a digital-first office environment using tools such as Google Workspace, Missive, ClickUp, Canva, and other cloud-based business applications. The ability to learn new software quickly is more important than experience with any specific platform.
- High attention to detail, professionalism, and discretion.
Nice to Have Qualifications
- Experience using collaborative workplace software such as ClickUp, Missive, Google Workspace, Microsoft Teams, Slack, Monday.com, Asana, Trello, Notion, or similar platforms.
- Experience in a bookkeeping, accounting, or other professional services environment.
- Experience using AI tools such as ChatGPT, Microsoft Copilot, or similar productivity tools.

Pay: $21.00-$24.00 per hour
