Job Summary: The Administrative Assistant at WINSUN GROUP INC. is responsible for providing efficient administrative support to ensure the smooth operation of the office. This role involves a variety of tasks including preparing and editing documents, managing communication, scheduling, and maintaining organizational systems.
Main Duties and Responsibilities:
Document Preparation and Management:
- Prepare, key in, edit, and proofread correspondence, invoices, presentations, brochures, publications, reports, and related material from machine dictation and handwritten copy.
- Set up and maintain both manual and computerized information filing systems to ensure efficient document management.
Communication and Coordination:
- Open and distribute incoming regular and electronic mail and other materials, coordinating the flow of information internally and with other departments and organizations.
- Answer telephone and electronic inquiries, relaying telephone calls and messages appropriately.
- Greet visitors, ascertain the nature of their business, and direct them to the appropriate person or department.
Scheduling and Organization:
- Schedule and confirm appointments and meetings for the employer, ensuring efficient time management.
- Arrange travel schedules and make necessary reservations to support business travel requirements.
- Organize conferences, including the preparation and distribution of meeting agendas and minutes.
Office Management:
- Order office supplies and maintain inventory to ensure the office is well-stocked and equipped.
- Determine and establish office procedures to streamline workflow and improve efficiency.
- May compile data, statistics, and other information to support research activities.
Supervision and Training:
- May supervise and train office staff in procedures and the use of current software to ensure consistent performance standards.
Qualifications:
- Proven experience as an administrative assistant or in a relevant role.
- Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint, and MS Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize workload effectively.
- Attention to detail and problem-solving skills.
- High school diploma; additional qualifications as an Administrative Assistant or Secretary will be a plus.
Working Conditions:
- Office environment with standard working hours. Occasional overtime may be required.
