Maintenance Coordinator

Department: Shop / Operations
Reports To: Fleet Manager
Direct Reports: None

Position Summary

Reporting to the Fleet Manager, the Service Writer / Maintenance Coordinator supports shop operations by coordinating defect intake, work order creation, maintenance scheduling, parts inventory, and communication between drivers, dispatch, technicians, and management. This role helps ensure timely repairs, accurate documentation, efficient workflow organization, and effective maintenance planning across the fleet.

Responsibilities

DVIR & Defect Intake

Receive DVIRs and defects through Saucon and Fleetio.
Review reported defects with the Fleet Manager and determine scheduling requirements.

Driver Communication

Communicate defect status, repair plans, and post-repair updates to drivers as required.

Work Order Creation

Create technician work orders and attach applicable defects, preventative maintenance requirements, and supporting documentation.

Scheduling Support

Maintain the shop repair schedule based on Fleet Manager direction and operational priorities.
Assist in coordinating preventative maintenance activities and repair scheduling.

Dispatch Communication

Communicate repair timelines, out-of-service units, and upcoming maintenance requirements with dispatch.

Parts & Inventory

Maintain parts inventory levels and ensure parts are properly stocked in designated locations.
Assist with parts ordering, receiving, and inventory organization.

Vendor Coordination

Coordinate external vendor repairs and service appointments as required.

Work Order Review

Review completed work orders for accuracy, ensuring labour, parts, and service intervals are correctly recorded.
Assist technicians with parts entry and documentation as required.
Forward completed work orders to the Fleet Manager for final review and approval.

Qualifications

Experience in transportation, automotive, truck, coach, or heavy-equipment maintenance environments.
Knowledge of defect reporting, work orders, preventative maintenance programs, and fleet operations.
Strong communication skills and the ability to work effectively with drivers, dispatchers, technicians, vendors, and management.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Proficiency with maintenance management software; Fleetio experience is considered an asset.
Proficiency with Microsoft Office and/or Google Workspace.
Valid Ontario driver's licence required; BZ licence considered an asset.

Pay: $52,000.00-$55,000.00 per year
