We have an immediate opening for a Project Coordinator In our Corporate Office – Toronto. The Project Coordinator is the primary point-person responsible for planning, executing, and delivering projects on time, and in accordance to specifications. To achieve these important goals, the Project Coordinator will define project requirements and scope, acquire project resources. Efficient delivery of project deliverable, effective quality control, and clear communication of expectations to stakeholders, and upward reporting to senior management are critical tasks that must be performed throughout each projects life cycle.

Duties and Responsibilities:
- Oversee all aspects of the day-to-day monitoring of projects.
- Inputting of all customer project needs into the ERP system.
- Maintain up-to-date filing system of projects.
- Maintain and abide by all Control Centre policies and procedures. All process changes & requests from other departments pertaining to the Control Centre, must be pre-approved by the Control Centre Manager.
- Maintain and abide by Health & Safety Policies & Procedures.
- Maintain an understanding of all project contracts within the Construction department before handing out assignments to the Construction Managers.
- Represent the company in a professional manner with customers, consultants, contractors and other public and/or private agencies and organizations.
- Work closely with the finance department to make sure that all invoices submitted are met within the deadlines.
- If applicable, responsible quality checks on all outgoing invoicing submissions.
- Reconcile project accounts to make sure all services were billed to the customer.
- Maintain updated and current permits. Request renewals &/or extensions from Customers.
- Arrange for construction permits and utility locate requests and other site requirements.
- Plan and analyze client needs and achieve objectives.
- Creating all job folders at the start and finish of projects, making sure all field paperwork is completed by contract specifications.
- Work closely with the Control Centre Manager and the Construction Managers on issues for resolution.
- Order materials, review and be aware of inventory status per project and timelines of procurement process.
- Maintain and provide reports to all team members within Operations & Senior Management.
- Ensure that all clients receive all requested reporting including project schedule, project status and changes.
- Prioritize all tasks on a daily basis.
- Handling customer requests.
Requirements:
- Project Coordinator experience within the construction or telecommunication industry is a must
- Education/ Certification: Min of Grade 12
- Must have good communication, & decision making skills
- Must be comfortable working in a fast paced environment
- Strong problem identification and problem resolution skills.
- Ability to create and edit project documents, materials, and presentations.
- Able to effectively communicate both verbally and in writing.
- Able to build and maintain lasting relationships with business units, corporate departments, key managers, and other stakeholders.
- Flexibility to adjust to shifting priorities and deadlines.
- Persuasive and motivating, with a strong focus on managing consultants.
- Clear Criminal Back Check
Working Conditions:
- Travel may be required.
- Overtime as required.
- Sitting for extended periods of time.
- Able to attend and conduct presentations.
- Manual dexterity required to use desktop computer and peripherals.
