Job Overview
We are seeking a highly organized and proactive Office Management Assistant to support our administrative team. This role involves overseeing daily office operations, managing clerical tasks, and ensuring smooth communication across departments. Responsibilities
- Assist with supervising office staff and managing team workflow
- Handle front desk duties including greeting visitors and managing phone calls
- Maintain accurate bookkeeping and perform basic accounting tasks using QuickBooks
- Manage human resources functions such as onboarding, training & development, and employee records
- Oversee payroll processing and ensure timely submission of reports
- Organize and maintain filing systems for documents, vendor information, and other records
- Coordinate vendor management activities including procurement and service scheduling
- Ensure effective communication within the office through phone etiquette and professional correspondence
- Assist with administrative projects, scheduling meetings, and supporting office events
- Manage company invoicing, including creating, sending, and tracking invoices
- Follow up on outstanding invoices and payments as required
- Research and identify new landscaping opportunities for upcoming seasons
- Assist with preparing and submitting quotes and proposals
- Maintain organized records of employee and company documentation
- Ensure all employee paperwork, timesheets, and daily logs are completed accurately and submitted on time
- Create and prepare quotes and estimates for clients
- Track scheduled maintenance, inspections, registrations, and other vehicle- related requirements to ensure records remain current and compliant
Skills
- Proven supervising experience with the ability to manage a team effectively
- Proficiency in QuickBooks, and payroll management
- Strong front desk presence with excellent phone etiquette and communication skills
- Experience in human resources functions including onboarding and training & development
- Office experience with clerical, administrative, and organizational tasks
- Ability to handle emails and phone calls efficiently
- Skilled in filing systems, vendor management, and document organization
- Excellent organizational skills with attention to detail and time management
- Capable of managing multiple priorities in a fast-paced environment
- Strong team management abilities with a focus on collaboration and leadership
