City: Kamloops
Program and Site Location: Administration, Stollery Suites
Reports To: Director of Communications and Quality Improvement
Term: Permanent Full-Time (37.5 hours per week)
Hours: Monday to Friday 8:30am to 4:30pm with ½ hour unpaid meal break
Wage Range: $24.43 to $29.76 based on education and related experience.

ASK Wellness Society is an Accredited, not-for-profit organization. Through the generous support of funders, we assist those who are marginalized and at-risk to strengthen the communities we serve (Kamloops, Merritt, and Penticton). We provide housing and support to those who are facing or at risk of homelessness and support those who may use substances, or who require mental health supports, harm reduction, or health education. Ultimately, we aim to provide the skills to re-enter the workforce.

Position Summary: As a Communications and Administrative Associate, you will work alongside the Director of Communications and Quality Improvement to create quality internal and external print, informative communications, and engaging content for all social media platforms. You will support the planning, coordination, and execution of Society and community-wide events. You will ensure ongoing compliance, implementation, and maintenance of all Council of Accreditation (“COA”) Standards across the Society. This includes the management of the Society’s Client Information System. You will work closely with the leads for the Society’s Performance and Quality Improvement (PQI) committee and help achieve an ongoing culture that values quality improvementand createsspecific plans and outcomes, as identified through survey results. You will be responsible for administrative support, including but not limited to, data entry, the creation and maintenance of documents, tracking forms, and reports, as well as clerical upkeep of policies and procedures.

Typical Duties Include:

Draft and execute content, based on the developed communications strategy and branding guidelines, tailored to each social media platform, considering the preferences, engagement, and behaviours of the respective audiences.
Collaborate with Director to draft engaging and creative content optimized for each social platform, including videos, reels, posts, and stories.
Strategically cross-promote content between Facebook, Instagram, and LinkedIn to increase visibility and engagement across multiple platforms.
Support with internal communications, including drafting content for the Society’s monthly newsletter.
Assist in the integration of documentation to create consistent agency forms and fillable documents.
Prepare, organize, and store information in paper and digital formats.
Organize, research, gather, and input data as necessary to assist Director.
Manage and oversee the Society’s Client Information System and Microsoft SharePoint intranet.
Plan, coordinate, and execute Society events and participate in community events.
Support the Director to formalize and present suggested processes, systems, and documentation to Management.
Work in collaboration with other programs and departments in all locations (Kamloops, Merritt, and Penticton).
Maintain files and statistics, as per accreditation standards.
Ensure compliance with all Society policies and procedures.
Occasional travel will be required to Penticton and Merritt and within Kamloops

Qualifications and Requirements

Post-secondary Diploma, Certificate, or Degree in Communications, Business Administration, or Marketing an asset
Office and administrative experience an asset
In-depth work experience and knowledge of social media platforms, algorithms, and best practices
Strong understanding of digital marketing concepts and SEO principles
Proficient in using social media management tools (Vista Social)
Experience with Microsoft Office suite, including Word, Excel, Outlook, Forms, and SharePoint
Excellent communication, writing, documentation, and organizational skills
Ability to work as an effective member of an integrated administrative team
Ability to work unsupervised to achieve objectives within specifically negotiated timelines
Ability to handle multiple, simultaneous, and detailed tasks effectively and efficiently
Demonstrated ability to handle confidential information
Valid driver’s license and clear driver’s abstract required
Access to personal vehicle for business use required
Must pass an acceptable criminal record check for the vulnerable sector
