At Pacific Institute of Culinary Arts we are driven by excellence and we are seeking a full-time Front Desk Associate/Office Coordinator to join our team.
The Office Coordinator provides support to the team members from each department such as operations, catering/corporate sales, bistro, bakery, registrar, marketing and admissions. This central position will be occupied at our front desk.
Specific responsibilities include (but are not limited to) the following:
- Open and close duties
- As the first face of the Institute, greet and direct guests and students to the appropriate departments
- Answer and direct incoming calls
- Provide administrative support to Instructors, Events & Cafe/Bistro
- Prepare/print lmenus, signage and labels for the bistro, bakery and school using Adobe Creative Suite (training can be provided)
- Process mail and deliver to post office; arrange courier pick up and deliveries
- Distribute incoming fax and packages
- Print/distribute materials for instructors/managers
- Book admissions tours for advisors through phone/email/SMSand enter data into CRM
- Organize and maintain sign-up sheets for short programs, take registrations, process payments, confirm enrolment via e-mail and prepare class lists, course materials, bakeshop vouchers and certificates
- Make simple updates to website (Training provided)
- Manage office supplies and ordering
- Coordinate kitchen equipment repairs/servicesand building contractors as needed
- Prepare for student graduation: print diplomas/certificates, award certificates, compile final packages, wrap gifts, print graduation programs, etc.
The ideal candidate:
- Has some college/college diploma/university degree
- Minimum one year progressive administrative experience
- Highly organized, task-oriented and proactive
- Proficiency in Microsoft Word, Excel, Power Point and Outlook
- Familiarity with Adobe Creative Suite and Square (training can be provided)
- Is neat and tidy
- Passionate about food
Job Type: Full-time
Pay: $40,000.00-$45,000.00 per year
