The Community Led Outreach & Engagement (CLOE) project is a community-based research project being co-led by the Welcome Centre Shelter for Women and Families and a research team from the University of Windsor and the Capacity Research Centre at the University of British Columbia. This project is testing the effectiveness of strengths-based approaches to outreach and one-on-one individualized support to benefit people experiencing gender-based violence and related challenges. The CLOE project is designed to support women in the Windsor community to engage with the outreach team in safe, respectful ways that foster trust and engagement with health and social care services. Through individual engagements with women, CLOE provides a range of services, including safety promotion and community coordination and referrals.
The Community Research Coordinator (CRC) is the primary community contact for the Windsor site of this national research project, and will work collaboratively within the community lead organization, the Welcome Centre, and with the research team leadership. The CRC functions at the interface among the outreach workers, research and community leads, and provides coordination of communication and shared work processes for the Windsor-based team. This position is responsible for primary management of CLOE outreach staff, building connections and awareness in the community about the project, maintaining records of work activities, data collection with research participants, and working with the research team to ensure the outreach program is implemented according to study protocols.
The CRC provides thoughtful daily supervision, mentorship and work direction to a team of outreach workers to support women in the community who participate in this study. The Coordinator will also receive and screen referrals, conduct informed consent, enrollment and ongoing data collection with participants, and contribute to the overall implementation of the project including intervention fidelity as per research protocols. A component of this position requires maintaining records of work activities, and working with the research team to analyze the effectiveness of the program.
MINIMUM QUALIFICATIONS
- In recognition of the often high-risk and medically vulnerable clients the agency serves, proof of COVID-19 vaccination status or approved medical or religious exception on file is required
- Undergraduate degree in a relevant discipline with a minimum 2 years full-time work in case management role, or equivalent combination of education and experience
- Experience working with women, especially with women experiencing vulnerabilities (e.g., poverty, housing insecurity)
- Understanding of the impacts of, and responses to, violence and trauma
- Firm understanding of the social service system and community-based programs, services and related provincial and community support systems, including income support programs
- Training and working awareness/use of harm reduction, trauma-informed care, suicide intervention, crisis intervention, motivational interviewing
- Demonstrated commitment to capacity building, empowerment and gender equity
- Excellent verbal and written communication skills, conflict resolution and debriefing skills
- Excellent organization and time management skills
- Demonstrated supervisory abilities and work background
- Experience with consent and research data collection preferred
- Must have access to dependable transportation, eligible for or possess a valid Ontario driver’s license, and proof of insurance
- Successful completion of a criminal background check
- Proficiency with software such as Word and Excel preferred
The following duties outline the requirements of the Community Research Coordinator (CRC) position; all items noted are used in instances of performance evaluation.
HUMAN RESOURCES
- Understand and adhere to contents of the Human Resource and Employee Orientation Manuals.
- Participate in all scheduled staff/team meetings and any scheduled training programs.
- Support designated areas of CLOE outreach staff training to ensure high standards of training on client needs and support services.
- Provide CLOE outreach staff with supervision, mentorship and ongoing development through scheduled and impromptu discussions and debriefing supports, as needed.
DATA COLLECTION & MANAGEMENT
- Receive referrals to the CLOE project, and determine eligibility and fit for outreach services.
- Meet individually with potential participants to offer informed consent and enrollment in the research study.
- In adherence with study protocols and timelines, schedule and conduct data collection with enrolled participants including surveys and in-depth interviews.
- Track participant progress with data milestones (e.g., dates for surveys and outreach worker check-ins with enrolled participants).
- Maintain records on referrals, consent and enrollment, and work processes.
- Collaborate with the Principal Investigator (or delegate) regarding data quality, documentation concerns, timelines, and any troubleshooting needed.
SUPPORT FOR OUTREACH PROJECT IMPLEMENTATION
- Build awareness in the community about the project; prepare presentations to community organizations and respond to queries about the project.
- Work collaboratively with outreach workers to plan, carry out, document and review work activities.
- Facilitate regularly scheduled meetings with outreach workers to review participant progress, key data milestones, etc.
- Perform professional development assessment and planning with the outreach workers and work collaboratively with the ED and research leads.
- Actively support outreach workers during their work days by providing on-the-ground support as needed, including check-ins, troubleshooting and immediate assistance, as required.
- Facilitate crisis support to outreach team and participants, with the assistance of the Executive Director.
- Liaise with the Executive Director and CLOE project Principal Investigator and Research Manager regarding outreach workers’ support needs, workload, emerging concerns regarding participants’ progress or support needs, etc.
- Work collaboratively with Welcome Centre leadership and staff to facilitate enrolled women’s access to additional support and services, as required.
- Support outreach team to communicate with other community organizations when additional supports are needed for enrolled participants.
- Coordinate scheduling and room booking, and document decisions reached during various ongoing meetings, including but not limited to:
- Site Research Team (including Executive Director, Research Manager, Research Lead, Community Research Coordinator, and outreach workers)
- Outreach Team (including Community Research Coordinator and outreach workers)
- Ensure appropriate resources for outreach workers to undertake their activities (e.g., petty cash, cell phones, laptops, etc.).
- Report challenges for project implementation and, if applicable, ideas for addressing challenges to the research and community leads in a timely manner.
- Prepare and submit regular progress reports to the Executive Director, Principal Investigator and Research Manager.
- Comply with research project protocols, and provide leadership and guidance with the community lead organization (WCS) and outreach workers to ensure fidelity to protocol.
ADMINISTRATIVE
- Enter hours worked on weekly timesheets to be submitted in a timely and accurate manner.
- Lieu time and overtime monitored and kept to a minimum, for necessary or emergency deemed situations only. To be entered regularly in PayWorks.
- Ensure requests for vacation time are submitted to the Welcome Centre Executive Director (or delegate) prior to the 10th of the month preceding the request.
