Property Administrator
We are seeking a highly organized, energetic, and customer-focused Property Administrator to join our team. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and excels at managing multiple administrative responsibilities while delivering outstanding service to tenants and prospective tenants.
Reporting to the Property Manager, the Property Administrator plays a key role in supporting daily property operations, tenant relations, leasing administration, and maintaining accurate records.
Key Responsibilities
- Provide exceptional customer service to current and prospective tenants in person, by phone, and by email.
- Handle tenant correspondence, notices, letters, and general inquiries.
- Prepare and manage electronic leases, renewals, and tenant documentation.
- Maintain accurate digital and paper tenant files and building records.
- Track rental increases, lease renewals, tenant move-ins and move-outs, and tenant insurance.
- Support leasing activities, including coordinating unit readiness and scheduling showings.
- Ensure vacant units are ready for viewing and follow up with site staff and contractors as required.
- Coordinate administrative support for unit turnovers, inspections, keys, and supplies.
- Assign and track work orders and follow up on completion.
- Maintain reports, checklists, and general administrative documentation.
- Assist with general site coordination, walkthroughs, and quality standards as needed.
- Act as a professional and courteous representative of the organization at all times.
- Perform other duties as assigned.
Qualifications & Skills
- Minimum 2 years of experience in a property administration, property management, or similar administrative role.
- Experience using property management software (Buildium, Yardi or similar systems preferred).
- Strong computer skills, including proficiency in Microsoft Word, Excel, and digital filing systems.
- Excellent written and verbal communication skills.
- Highly organized, detail-oriented, and able to multitask effectively in a fast-paced environment.
- Strong customer service and tenant relations skills; collections experience is an asset.
- Ability to work independently and collaboratively within a team environment.
- Professional, dependable, and solutions-oriented approach to problem solving.
- Post-secondary education is considered an asset.
