RESPONSIBILITIES

Ensures a high functioning central administration and supports the work of the various YWCA Hamilton departments by providing administrative and logistical support. Demonstrates a high level of professionalism, confidentiality, composure and flexibility when faced with managing multiple conflicting priorities.

KEY RESPONSIBILITIES:

Support administrative department projects;
Provide direct administrative support in copying, filing, scanning, etc.;
Compile, create, and modify statistical reports as assigned;
Works in a manner that preserves confidentiality and minimizes risk;
Maintains accurate files electronically and in hardcopy to ensure responsible administrative records and corporate memory;

Works safely and reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures;
Provide direct administrative support in copying, filing, scanning, etc.;
Ensures compliance with policies and procedures;
Supports YWCA Hamilton’s mission, vision and values;
Perform other duties as required.

QUALIFICATIONS

Be between 15 and 30 years of age at the start of the employment;
Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment;
Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations;
Previous experience working in an Administrative Assistant role an asset;
Demonstrated understanding of administrative processes and procedures;
Exceptional organizational skills with ability to prioritize tasks, work under pressure, meet deadlines, and quickly adapt to change;
Provide a current Judicial Matters police check or willingness to obtain at own cost.
Ability to maintain composure when faced with managing multiple conflicting priorities for multiple stakeholders;
Excellent problem solving and analytical abilities; proactive in anticipating needs and potential problems;
Ability to travel as required, valid Ontario Driver’s license and access to a vehicle is an asset;
Ability to work various shifts days, afternoons and some evening (Monday to Friday) as required;
Excellent verbal and written communication skills;
Proficiency with MS Office Applications including but not limited to Word, Excel and Outlook;
Ability to bring a feminist, anti-racist/anti-oppressive perspective to daily work;
Bilingual English/French or other languages an asset.

WORKING CONDITIONS:

Works 35 -hour work week; with availability to work various shifts including days, afternoons and evenings with travel as required.
Ability to use frequent light to medium physical effort; lifting up to 22kg, bending and stooping;
