Bloom Dance Company is seeking a dynamic, detail-oriented, and professional Administrative, Marketing & Studio Assistant to support the day-to-day operations of our growing studio. This role is ideal for someone with a strong business background, a passion for dance and the arts, and the ability to thrive in a fast-paced, community-focused environment. This position plays a vital role in ensuring smooth operations, accurate communication, and an exceptional client experience.
Hours
- Monday to Thursday from 12:30 pm to 8:30 pm
- Saturday 8am to 1pm
Administrative & Financial Support
- Process family invoices, billing, refunds, credits, and account adjustments with a high degree of accuracy using Jackrabbit and Square.
- Manage Accounts Receivable and Accounts Payable functions, ensuring all financial transactions are recorded correctly and processed in a timely manner.
- Review and verify all financial entries to prevent overcharging, undercharging, or billing discrepancies.
- Monitor declined and overdue payments, communicate professionally with families regarding outstanding balances, and follow up as required.
- Maintain accurate records and reports related to accounts receivable, attendance, registrations, enrollment, and studio finances.
- Prepare financial, enrollment, and operational reports for the Studio Director as requested.
- Provide direct administrative support to the Studio Director, including scheduling, email management, document preparation, and studio communications.
- Assist with student registrations, customer service inquiries, and day-to-day office operations.
- Maintain confidentiality of all student, family, employee, and company information.
- Ensure administrative processes are completed efficiently and in accordance with company policies and procedures.
Client Communication & Policy Enforcement
- Handle client emails, phone calls, and in-person inquiries with professionalism, warmth, and efficiency.
- Effectively communicate and reinforce studio policies, including withdrawals, credits, trial classes, makeup classes, and payment policies.
- Serve as a primary point of contact for customer service concerns and escalate issues to the Studio Director when appropriate.
- Foster positive relationships with students and families while maintaining clear and consistent communication.
Marketing, Communications & Social Media
- Design and distribute monthly studio newsletters using Canva and Jackrabbit to keep families informed and engaged.
- Create and maintain a seasonal calendar of events, promotions, and important studio dates.
- Develop, schedule, and manage branded social media content across Instagram, Facebook, and other relevant platforms.
- Plan and execute seasonal marketing campaigns, special event promotions, and community engagement initiatives.
- Maintain and grow email marketing lists for current, past, and prospective clients.
Studio Operations & Inventory Management
- Manage inventory through Square, including tracking stock levels, processing inventory adjustments, monitoring low-stock items, reconciling discrepancies, and coordinating reorders.
- Oversee merchandise, dancewear, costume, recital, office, and studio supply inventory to ensure adequate stock and accurate records.
- Process retail sales through Square, prepare online orders for pickup, and maintain attractive and organized merchandise displays.
- Research cost-effective suppliers and recommend purchasing strategies to improve operational efficiency and control expenses.
- Support costume measurements, distribution, exchanges, and inventory tracking during recital and performance seasons.
- Maintain a clean, organized, and welcoming studio environment, including reception, office, staff, storage, and common areas.
- Ensure supplies are stocked, materials are organized, and the studio is prepared daily for classes and visitors.
- Assist with opening procedures, lobby presentation, music setup, and overall studio readiness.
Events & General Support
- Support special events, performances, recitals, open houses, registration events, and other studio initiatives.
- Perform additional administrative, operational, and customer service duties as required to support the successful operation of Bloom Dance Company.
Qualifications:
- Strong working knowledge of Square POS, including payment processing, refunds, inventory management, retail sales, reporting, and product management.
- Experience managing Accounts Receivable and Accounts Payable, including invoicing, collections, payment reconciliation, and financial recordkeeping.
- Strong understanding of inventory management, purchasing, vendor coordination, and stock control processes.
- Proficiency with Canva for creating newsletters, marketing materials, social media graphics, and studio communications.
- Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms) and Microsoft Office applications.
- Experience with email marketing platforms and database management systems.
- Strong social media management skills, including content creation, scheduling, community engagement, and campaign execution.
- Excellent organizational, time management, and project coordination skills.
- Strong attention to detail with a commitment to accuracy in financial and administrative work.
- Ability to communicate professionally and confidently with families, staff, vendors, and community partners.
- Ability to work independently, prioritize competing demands, and maintain a high level of professionalism in a fast-paced environment.
Job Type: Full-time
Pay: $25.00-$27.00 per hour
Expected hours: 35.0 – 40.0 per week
