A well-established Canadian organization operating across multiple locations throughout Canada.

Intro paragraph

Our client is seeking an experienced Payroll Coordinator to join their team. Reporting to the Payroll leadership team, the successful candidate will be responsible for processing high-volume payrolls, maintaining employee records, supporting payroll compliance requirements, and ensuring employees are paid accurately and on time. This role offers exposure to the full employee lifecycle within a fast-paced, collaborative environment.

Principal tasks and responsibilities include:

Process high-volume bi-weekly payroll for salaried, hourly, and unionized employees.

Collect, review, verify, and process payroll information including hours worked, earnings, and statutory deductions.

Review time and attendance records for accuracy, completeness, and proper authorization.

Maintain employee information within the HRIS and payroll systems, including new hires, terminations, compensation changes, and employee updates.

Process off-cycle payments including termination pay, replacement payments, and other special payroll transactions.

Respond to payroll-related inquiries from employees and managers in a timely and professional manner.

Partner with Human Resources regarding employee changes, leaves of absence, terminations, and payroll-related matters.

Assist with payroll reconciliations, journal entries, and payroll reporting activities.

Ensure payroll deductions, union dues, and other remittances are processed accurately and on time.

Prepare and process Records of Employment (ROEs) as required.

Support payroll compliance activities in accordance with federal and provincial legislation.

Assist with quarterly and year-end payroll reconciliations and reporting requirements.

Support the preparation of year-end tax documentation including T4s, T4As, and RL-1s.

Participate in internal and external audit requests related to payroll.

Act as a backup for other payroll team members as required.

Qualifications and pre-requisites:

College diploma or post-secondary education in Business, Accounting, Payroll, Human Resources, or a related field.

Minimum 4 years of full-cycle payroll experience.

Experience processing both hourly and salaried payrolls.

Experience working with ADP Workforce Now or a comparable payroll platform.

Multi-provincial payroll experience, including Quebec payroll exposure.

Knowledge of payroll legislation, statutory deductions, and year-end payroll requirements.

Experience processing Records of Employment (ROEs).

Strong Microsoft Excel skills including Pivot Tables, VLOOKUPs, filtering, and reconciliations.

Strong attention to detail and commitment to accuracy.

Excellent organizational and time management skills.

Ability to manage multiple priorities and meet strict payroll deadlines.

Strong communication and customer service skills.

Ability to work independently while contributing to a collaborative team environment.

PCP designation completed or in progress considered an asset.

Union payroll experience considered an asset

Role is 5 days a week onsite.
