Registrar & Member Services Coordinator (Part-Time)
Oceanside Football Club (Oceanside FC) is a growing, community-based soccer club serving players and families throughout the Oceanside region. We are looking for an organized, friendly, and detail-oriented Registrar & Member Services Coordinator to manage player registrations and provide exceptional service to our members.
This is a year-round, part-time position averaging 10 to 15 hours per week. Workload varies throughout the year, with peak periods from February to May and August to October. Most work can be completed remotely, with occasional in-person meetings or events in the Parksville area.
What You'll Do Registration & Administration
Manage the PowerUp registration system, ensuring accurate and timely registration for all club programs.
Assist members with online registration, payments, and funding assistance applications.
Process player refunds and resolve incomplete registrations.
Maintain accurate player and member records and databases.
Create player identification numbers and assist with roster preparation in coordination with the Operations Manager.
Provide registration reports and information to the Upper Island Soccer Association (UISA), BC Soccer, and other organizations as required.
Track external player funding and communicate with funding agencies when necessary.
Manage age group waitlists and provide registration updates to Age Group Coordinators.
Ensure players, coaches, and referees are properly affiliated with BC Soccer and UISA requirements.
Track Criminal Record Checks (CRCs) and required coaching certifications.
Work closely with the Operations Manager and Treasurer to ensure registration information is accurate.
Provide general administrative support to the Club as required. Member Support & Communication
Respond to member inquiries by email or phone within 24 to 48 hours.
Support coaches, volunteers, and Age Group Coordinators with registration-related questions.
Respond to inquiries received through email and Facebook Messenger.
Work collaboratively with the Executive, Board of Directors, staff, and volunteers.
Help provide a positive and professional experience for all Oceanside FC members.
What We're Looking For

Friendly, professional, and customer-focused communication skills.
Ability to work independently while collaborating with a team.
Proficiency with Microsoft Word, Excel, email, and social media platforms.
Ability to quickly learn new software, including the PowerUp registration system.
Experience in customer service, office administration, or database management is considered an asset.
Knowledge of youth sports organizations or soccer is an asset but not required.
