Job Overview

We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a professional and friendly environment for visitors, clients, and team members alike. Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
Handle data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks when necessary
Maintain organized filing systems, including electronic documents and physical records such as client files and correspondence
Support administrative tasks such as scheduling appointments, managing calendars, and preparing correspondence
Assist with bookkeeping activities and basic office accounting using QuickBooks or similar software
Provide exceptional customer service by addressing questions or concerns with professionalism and courtesy

Qualifications

Proven clerical experience in an office setting with strong organizational skills
Proficiency in Microsoft Office applications (Word, Excel, Outlook) and Google Workspace tools
Experience with multi-line phone systems and excellent phone etiquette skills
Strong data entry skills with high accuracy; ability to proofread documents carefully
Familiarity with office equipment such as fax machines, scanners, and printers
Previous experience in a medical or dental office is a plus, including familiarity with front desk procedures and patient management systems
Ability to handle multiple tasks efficiently while maintaining a friendly demeanor
Basic bookkeeping knowledge using QuickBooks or similar software is preferred
Excellent communication skills combined with a professional appearance and attitude
