As we continue to grow, we are seeking an organized and motivated Administrative Coordinator / Accounting Assistant to support our operations, accounting, and project teams.
Position Overview
The Administrative Coordinator / Accounting Assistant will play a key role in supporting daily office operations, assisting with accounting functions, coordinating documentation, and ensuring accurate project administration. This position is ideal for someone who enjoys working in a fast-paced environment and has experience in both administration and accounting within the oil and gas or construction industries.
Key ResponsibilitiesAdministration
- Answer and direct incoming phone calls and emails.
- Maintain electronic and physical filing systems.
- Prepare client correspondence, reports, and project documentation.
- Assist with scheduling personnel, equipment, and resources.
- Coordinate travel arrangements and accommodations when required.
- Maintain employee records, training certificates, and onboarding documentation.
- Support management with various administrative tasks and special projects.
Accounting & Finance
- Process accounts payable and accounts receivable transactions.
- Prepare and issue customer invoices.
- Match purchase orders, vendor invoices, and receipts.
- Reconcile credit card statements and expense reports.
- Assist with month-end reporting and account reconciliations.
- Support payroll administration and timesheet tracking.
- Maintain accurate records within Sage accounting software.
- Assist with budgeting and cost tracking for projects.
Operations Support
- Track field tickets, purchase orders, and job costing information.
- Assist with client billing and project closeout documentation.
- Maintain databases and ensure data accuracy.
- Support HSE and COR documentation requirements as needed.
QualificationsRequired
- Minimum 2 years of administrative experience.
- Accounting experience including AP, AR, invoicing, and reconciliations.
- Strong proficiency with Microsoft Office (Excel, Word, Outlook).
- Excellent organizational and communication skills.
- High attention to detail and ability to manage multiple priorities.
- Valid Class 5 driver's license.
Preferred
- Experience in the oil and gas, drilling, construction, or industrial services sectors.
- Experience using Sage 50 or similar accounting software.
- Familiarity with purchase order systems and job costing.
- Understanding of field ticketing, project billing, and payroll processes.
- Post-secondary education in Business Administration, Accounting, or a related field.
