The Departmental Assistant provides administrative and project-based support to the Manager of Operations and Clinical Lead within the Nurse Practitioner Led Clinic (NPLC) Department. The role is responsible for organizing, maintaining, and improving departmental administrative systems, with a particular focus on electronic document management, policy and procedure coordination, orientation resources, and meeting support. The Departmental Assistant contributes to the efficient and effective operation of NPLC programs by reducing administrative burden, improving access to information, and supporting consistent, organized departmental practices

Responsibilities Include:
- Providing day-to-day administrative support to the Manager of Operations and Clinical Lead, including calendar management, scheduling meetings, and coordinating logistics.
- Receiving, screening, and prioritizing telephone calls, emails, and correspondence, exercising judgment in redirecting or escalating items as appropriate.
- Arranging internal meetings, including booking meeting rooms or virtual platforms, preparing and distributing agendas and materials, and recording and distributing meeting minutes.
- Promoting awareness and community participation in Nurse Practitioner Led Clinic Sites programs and assisting in the preparation and distribution of communications both internally and externally to support patient care;
- Demonstrating the highest standards of customer and patient service for all internal and external interactions and customers;
- Maintaining a high standard of patient confidentiality as outlined by the MOHLTC;
- Performing other duties as necessary or as assigned.
You will need to have completed a secondary school diploma and//or a diploma in secretarial/administrative assistance or a related field. You will also need to have:
- Post-secondary certificate/diploma in Office Administration or equivalent combination of education and experience.
- Minimum two (2) years of administrative experience.
- Demonstrated professionalism, tact, and diplomacy in interactions with others.
- Excellent attention to detail with strong organization skills.
- Demonstrated excellent verbal and written communication skills.
- Ability to work in a fast-paced environment with changing priorities, have exceptional time management skills and perform well under pressure with tight deadlines.
- Proficient with computers, word processing and spreadsheet programs, database management and associated software applications, including Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong understanding of privacy and confidentiality.
- Demonstrated satisfactory attendance levels, work performance, disciplinary history, and positive work references.
