Full job description

Position Overview

We are a growing home services company seeking a highly organized, detail-oriented Office Manager & Bookkeeper to oversee daily administrative operations and manage our financial records. This role is critical to keeping our office running smoothly while ensuring accurate bookkeeping, payroll processing, and financial reporting.

The ideal candidate is proactive, dependable, and comfortable working in a fast-paced small business environment where wearing multiple hats is the norm.

Experience with general accounting and accruals preferred.

Key Responsibilities - Bookkeeping & Financial Management

Maintain and update QuickBooks (Online or Desktop)
Record daily transactions and ensure accurate coding
Reconcile bank accounts, credit cards, and loan accounts
Manage Accounts Receivable (invoicing, collections, payment tracking)
Manage Accounts Payable (vendor bills, payments, tracking)
Prepare monthly financial reports (P&L, balance sheet, job costing summaries)
Support budgeting and cash flow management
Assist with year-end preparation for accountant

Payroll & HR Administration

Process weekly/bi-weekly payroll for field and office staff
Maintain employee records and payroll documentation
Track employee hours, overtime, vacation, and statutory holiday pay
Prepare and submit required payroll remittances (taxes, CPP/EI or applicable)
Assist with onboarding paperwork and employee documentation

Office Management

Oversee day-to-day office operations
Answer phones and respond to customer inquiries as needed
Schedule service appointments (if required)
Maintain organized digital and physical filing systems
Order office supplies and manage vendor relationships
Support owner with administrative tasks and reporting
Ensure compliance with company policies and regulatory requirements

Reporting & Operational Support

Generate job costing and profitability reports
Track key performance metrics
Identify opportunities to improve office efficiency and processes

Qualifications

2+ years bookkeeping experience (preferably in construction or home services)
Proficiency in QuickBooks
Strong understanding of payroll processing and government remittances
Experience reconciling accounts and preparing financial reports
High attention to detail and strong organizational skills
Proficient in Microsoft Office / Google Workspace
Ability to manage confidential information with discretion
Strong communication and customer service skills

Preferred Qualifications

Experience with bookkeeping
Familiarity with home service management software (e.g., ServiceTitan, Jobber, Housecall Pro)
Basic HR knowledge
Experience working in a small business environment
